Student Employment Management System (SEMS)

The New Jersey Institute of Technology has developed a comprehensive, dynamic Student Employment Management System (SEMS) that seamlessly integrates financial, student, and human resources systems to support the administration of more than 4,000 student employment assignments annually. The result of sustained collaboration between the office of Student Financial Aid Services and University Information Services (UIS) staff, the system serves the needs of students, campus employers, and administrative offices. Its elegant user interface overlays an application of surprising scope, impact, and complexity.

Both the impetus and control of the project depended heavily on user involvement and input. SEMS was developed largely by teams of graduate students, with UIS overseeing and directing the student's work. The resulting application has improved student employment processing significantly. Among the administrative and support highlights are:

  • reliance on industry-standard and open-source technology
  • leveraging of investment in legacy systems
  • savings of at least a full FTE in administrative staff time
  • enforcement of student employment policies and support for international student requirements
  • compliance with job-posting requirements and standardization of job titles and pay ranges
  • screening of students for eligibility requirements (e.g., grade level, FWS eligible)
  • elimination of paper student employment forms, including authorizations

Partially implemented in fall 2002 with full deployment in fall 2004, SEMS has significantly improved satisfaction of students, employers, and administrative offices. The application is highly adaptable for other institutions wanting to centralize student employment processes. It could be deployed at various degrees, from department- to institution-wide.
