Speaker Checklist

Below is a checklist of things that will help ensure a successful conference experience. Please review each item.

Session Information Review, by December 6

If you need to edit your session information, please send any changes immediately to speaker liaison Michelle Wengert.

We cannot overemphasize how important it is to attendees that your title and abstract accurately reflect your presentation content, so please be attentive to this important item. Even if this deadline has passed, please send any changes to the speaker liaison.

Biographical Information, by January 25

Please add your biographical information and photo to your session listing by establishing or updating your EDUCAUSE profile.

Registration, by January 25

Please remember that you must register in advance for the conference, pay the full conference registration fee, and secure your own hotel reservations (if needed).

Lodging, by January 25 (optional)

Concurrent Session Audio/Visual (A/V) and Technology Support

All standard technology for concurrent sessions is listed below; we do not need to know what A/V or network connection you plan to use for your session. Please don't hesitate to contact Michelle Wengert if you have any questions or if you have a request that is not covered below.

The following audio/visual equipment will be available for concurrent sessions:

  • Two microphones. Depending upon the facility, there may be one podium microphone and one corded lavaliere microphone, OR two corded lavaliere microphones available.
  • Projection screen and projector
  • Internet access (Ethernet preferred for speakers)

Computers in meeting rooms will NOT be provided. Please bring your own computer and make sure it is equipped with a standard VGA output and that you know how to use a projector with it before arriving. Mac users must be sure to bring their own laptop-to-VGA connectors!

Internet Access

The following network connections will be available:

  • Wireless access will be available for presenters and attendees. The connection speed will be sufficient for accessing and navigating Web and/or e-mail pages.
  • One dedicated Ethernet line will be provided and is preferred for speaker use.

Network Security

Please install up-to-date anti-virus programs and operating system updates and patches on your machine before connecting to the conference network. This will help ensure that computer viruses do not spread across participants' machines and enable us to provide a more reliable, robust network.

Preparing to Present Online

West/Southwest Regional Online will feature live webcasts of general and select concurrent sessions.

Your session will be professionally streamed by Sonic Foundry, Platinum Partner. Sonic Foundry uses production quality cameras to stream both the slides as well as the presenter(s). Your room will have a neutral backdrop and bright overhead lights.

Although no advance preparation is required to stream your presentation, EDUCAUSE has assembled a few resources and tips.

  • Consider the presence of your virtual audience and invite their participation throughout the session.
  • Virtual attendees will have an opportunity to see your presentation slides, as well as the stage in your session room. Avoid wearing busy patterns or distracting clothing to put the focus on your presentation and visual cues.
  • Plan to use the microphone in your room and take a few moments to ensure your audio is transmitting clearly before beginning.
  • Attendees will have an opportunity to submit questions. A volunteer facilitator in the room will monitor these questions for the question-and-answer periods.

Poster Session Information, Tips, and Photos

Poster sessions provide an opportunity to finely craft your information into a set of complementary components: text, graphics, demonstrations, and more. These poster sessions guidelines and techniques, Poster Session Description and Tips, will help you accomplish that. These sessions are informal and allow conferees to share campus experiences with colleagues on a one-to-one basis. Presenters convey information in several different ways, incorporating signs, graphs, and posters, as well as using personal laptops. Example 1 | Example 2.

Postconference Proceedings and Copyright Statements

A copy of your presentation is not needed before the conference. We invite you, however, to upload your session materials before or during the conference if you wish, or you can wait for an invitation to do so from the speaker liaison, which will come within a week after the conference.

If you'd like to participate, please upload your files in a presentation format (such as PowerPoint) or PDF. Also, please take a moment to fulfill the three requests below. (If your document is in a word-processor format, please convert it to PDF before uploading.) By uploading your materials, you make your resources available to those attending your session as well as to conference participants and other interested parties.

  1. Because you will retain the intellectual property rights for your paper or other materials related to your conference presentation, we ask that you place a copyright statement to that effect on your materials. We suggest that you use the following statement, which is consistent with EDUCAUSE's use of the material, as the first slide in a PowerPoint document, or on the first page of a PDF document:
    "Copyright [your name] [year]. This work is the intellectual property of the author. Permission is granted for this material to be shared for non-commercial, educational purposes, provided that this copyright statement appears on the reproduced materials and notice is given that the copying is by permission of the author. To disseminate otherwise or to republish requires written permission from the author."
  2. We ask that you fill in your PowerPoint document's properties in the following manner prior to uploading the file.
    Title: [Title of your session] TITLE
    Subject: [Conference Name and Year] WSWRC12
    Author: [Name of Presenter(s)] NAME and NAME
  3. If you password protect your PDF document, please make sure to enable the file to be read by a screen reader. It is our goal to make our resources easily available to those who use Adaptive and Assistive Technology to access files over the Internet.

Upload Your Presentation

We're now soliciting materials from speakers to be available to attendees during the conference, and in our online conference proceedings after the conclusion of the conference. There are a few things to keep in mind when using this feature:

  • Any files you upload will be visible to the public, including your session attendees.
  • Resources uploaded here will be archived in the EDUCAUSE Resource Center.

To upload resources:

  • Log in with your EDUCAUSE username and password
  • Click the "Manage Your Profile" link
  • Click the "Presentations" tab
  • Click the "Upload" link for your session
