Hello Educause members,

 

The College of Behavioral and Social Sciences at the University of Maryland runs a summer institute program that requires prospective participants to fill out an application package consisting of:

-Application form

-Person statement

-2 faculty recommendation letters (a form)

-Official college transcript

-Resume or CV

 

Currently, the intake process is all manual.  Applicants assemble their packages at their location and mail the documents to UMD.  The process is beginning to break down as the ever increasing volume of applications is straining the 2 resources assigned to this program (we received almost 500 applications this year).

 

We’re looking to move this process to an online platform that is designed to handle application submissions and a review process.

 

There seem to be so many of these types of programs out there that I don’t know where to start.  Any guidance would be MUCH appreciated.

Dan,

My first thought is to contact your central admissions office, and ask them what they use and if it can be used for your process.  Then you'll have local support for a university standard system.  I work in central admissions here at UIC and we try our hardest to serve all the admissions needs on campus.

My second thought is to send this message to the EDUCAUSE ASM constituent group list - you might get more traffic there.

Personally, I'd partner with your University's central IT organization to create a process to review and evaluate candidate systems, select a system, fund/approve it, and perform the system implementation. 

An excellent candidate system is Interfolio based here in Washington.  Interfolio has built a cloud-based application to collect everything you've described and an online process to review it.    You very likely would want to use UMD authentication to access it.    Click on the "Committees" tab at interfolio.com for more information.
