We've been using Diligent for several years.  It's a pricey hosted solution but the ease of use for board members has been a driving objective.  Extremely popular with our board.

We reviewed two different systems specifically designed for these purposes.  They are nice and tailored to the purpose.  But they don’t provide a whole lot more functionally than what we finally decided to do simply to save money.  We use a site in our LMS (Canvas) that only the board has access to - to manage the files and materials they need for their meetings.  Using the folder structure, etc. allows for a record of past meeting materials and minutes to be kept as well.  Take a little more work but is nearly as functional as the other systems.

IU has developed a system using our NET+ Box.com.  The IU Board of Trustees have access to a shared folder that contains folders for the current meeting, archived meetings, and general documents.  Using folder structures (with numeric naming conventions) we were able to create an intuitive and usable way to share meeting documents.  Box also has the ability to allow comments, which has been very helpful for discussions.

A question for those using SharePoint and SharePlus on a tablet. For our Board meetings and Presidents Council meetings the Agendas are constructed as a Word document that usually have embedded over documents in them. Some are PDF some are other word documents and then placed in a SharePoint document library. These agenda documents work fine on desktop computers but don’t work at all on a tablet, even when using SharePlus to access them. The agenda document will open but you can’t get to any of the additional embedded documents in the agenda. Numerous people have tried numerous ways to get them to work but all attempts have failed. My last step is to try and find a way to easily produce the agenda document but not have other documents embedded within, but still have them linked from the agenda for easy access. Have you had a similar issue?

We moved a couple of years ago from SharePoint to Boardvantage.   Some of our drivers were ease of use by the meeting attendees, support for mobile devices (iPads in this case), strong security, control and compartmentalization, and the ability to push document updates to the attendees’ devices quickly and efficiently.

We looked at over 15 different iPad-centric options but couldn’t find what we needed.  As a public school, our board meetings are open and we have some items on the agenda that should be available to the public and some that should be protected and only certain board members allowed access when an executive session is called.  

While nearly every board product could secure documents, I couldn’t find one that would publish to the iPad app (for our board members), a public website (for anyone attending that has a phone/tablet/computer) and would allow us to mark agenda items as either public or private.   The idea being that we only need to update one system and it would publish to iPad and/or the web based off permissions.   Right now I’m in discussion with Board Papers about modifications to their system to allow this.  Let me know if you (or anyone else) are interested in this and I’ll keep you updated as we proceed.

In a former life, we used BoardDocs. Works great on any platform and any device. Has the ability to mark items as "public" or "confidential" Board sees different view than public. BoardDocs also has the ability to manage and post Board Policy and Regs in an easily manageable format.

Concordia – Chicago implemented BoardEffect last fall and used it for our December 2013 Board meeting.  It was very well received.  We gave each regent an IPAD.  We chose BoardEffect over our LMS and other file sharing mechanisms because it provided (a) a powerful docket publishing tool to organize and number all pages, (b) a secured copy of the docket on the IPAD that could not be copied or printed, and (c) a very easy to use IPAD app that required very little board training.

We use eBoard from Passageways.  It is very reasonably priced compared to other options, we had to replace our paper system with an electronic system that cost the same or saved dollars and it was the only system that came close to that mandate.  It has an iPad app and also works with any browser.

Good afternoon, Colleagues!  We, too, are searching for a better method for servicing out board members. Currently, as part of our President’s technology transformation effort, we have moved away from sending out our “board books” to our members. I am sure that you can imagine the cost associated with the creation of 70, 200+ page documents to non-techno-literate members, 3 times per year. As such, we have integrated the iPad and PDF documents (along with the promotion of other electronic resources, including SKYPE, e-mail usage, net meeting, etc).

 

We have been using the iPads with the Board members  for about 3 years. They are now comfortable with technology and accessing the board reports. NOW they want to be able to mark up, take notes, and edit the documents.  As such we are now looking for a good application that is designed for this…”free” can only take us but so far!

 

Any recommendations would help us tremendously!

We looked at a product called BoardEffect.  AICUP is working on a relationship to sell the product to its members.  It is a small company but the functionality does seem to be there for the board.  The president here actually saw it for the first time because he sits on the board of a local hospital.

 

We have not made a final decision yet.
