Good Afternoon Colleagues!

 

            Was wondering if any of you use or have participated in the selection of electronic board (i.e. board of control, alumni board, foundation board, etc.) packet (documents, powerpoints, video clips, etc.) delivery and collaboration.  We’re looking for something that could be hosted or managed locally. We’re also looking for a product that is mobile aware (phones, tablets, iPads, etc.) and is very secure.  Any ideas?  If you’ve been through a selection, would you be willing to share your RFP or selection criteria?   Thanks in advance.

We recently implemented BoardDocs.  It is hosted, affordable, easy to implement, and works very well on tablets of all sorts.  No RFP necessary.  The cost is trivial.  It required almost no technical support for implementation.  Our board secretary was the project lead and had it up and running with support from BoardDocs within two months.

Our board members had it mastered by the second meeting.  All in all it has been very successful.

We use Diligent Boardbooks and provide iPads to Board members.  It has been well received.  It also works well with Windows computers.

We are using Pro (SharePlus: SharePoint Mobile Client, v3.0), which is $19.99 per copy, however since we purchased 30, the cost was $9.99 each due to our Apple Volume License Discount.

We looked at several products two years ago. After reviewing the functionality of each we decided to build our own board portal. We are a Google Apps for Education school and we used this as our platform. Using a combination of Google Sites and Google Docs we were able to construct a gateway to all the various documents used by our board of trustees. As our board members and administrators all have accounts in the system we were able to set the security up so the right people can see the right things and collaborate on various documents, including the documents that are available to the general public. Since Google works well with most mobile devices we've just about stopped printing board packets for attendees at board meetings.

We also completed an evaluation about a year ago and came up with the same short list.  They all were very good products with minor differences.  We selected Diligent Boardbooks, which happened to be the product several of our board  members used with their other board work.  We have used it for two board meetings and it has been very well received.  We also provided some board members with iPads if they didn’t already have one.  BTW – we found this reference guide, Board Portal Buying Guide, a bit dated and healthcare focused, but still conceptually a nice framework for reviewing products.

Are you happy with the decision?  I see you are continuing to explore options.

We are also looking at BoardMax.  This is for non-profits.  So far they have most of the functionality we are looking for, with more on the way.

Jim,

 

We recently implemented BoardDocs.  It is hosted, affordable, easy to implement, and works very well on tablets of all sorts.  No RFP necessary.  The cost is trivial.  It required almost no technical support for implementation.  Our board secretary was the project lead and had it up and running with support from BoardDocs within two months.

 

Our board members had it mastered by the second meeting.  All in all it has been very successful.

We’ve implemented Diligent as well.  We’ve had two full board meetings with it and several small meetings.   So far it has been a success.  We put a lot of effort on the front end training and getting everyone comfortable with it.

We began using Dilligent Board Books (www.boardbooks.com) in Fall 2012.  Happy with the functionality but I had to give up my beloved Android tablet because of it.

At UMass we  implemented BoardVantage in the summer of 2012.  Many of the products referenced thus far are similar in functionality and cost however we were most impressed with the mobile functionality from BV.

 

All of our Board and committee meetings are now paperless.
