Our recruitment team is looking for an iPad App to capture Prospectus Student information during University Fairs or School Visits. The team also travels to various international venues and fairs to attract students for admission.

There are Lead Capture solutions out there which capture data in offline mode and transfer to central repository when you become online. This information then can be exported in excel or loaded to CRM/SIS systems for further processing.

I have spent a fair bit of time researching and testing options for this. After going to an AACRAO conference presentation on using iPads for exactly this purpose, I was encouraged to use iPads to eliminate our cardboard contact cards.

 

The conference presenters suggested using the iPads simply as small portable devices with browsers that connect to a web site via Wi-Fi if it exists, and using a mobile Wi-Fi hotspot if it does not  – this I pursued until my boss informed me that we would not get any mobile Wi-Fi hotspots.

 

So I reviewed many iPad form apps to collect data offline. Most of them are free, but work on a monthly subscription service – I eliminated all those and focused on the single-fee-based apps that have no subscription. I concluded that one was best for us, allowing drop-down lists and date field validation. We tested this on some visits, and got mixed results. This works well if there are not crowds of students wanting information, and could work well if the recruiter is willing to carry many iPads, secure them, and keep them all charged, etc.. It doesn’t work well if there are crowds of students, or the recruiter is overwhelmed with carrying many iPads and keeping them all charged. There was also feedback that the iPad device itself may not be the best platform for quick data entry (there’s no attached keyboard, no on-screen tab key to move between fields, and it’s expensive). We’re thinking of testing a cheaper device with built-in keyboard, but haven’t yet gotten to that.

I'd look into Act! software (www.act.com) -- it's been around for a number of years and many sales organizations use it… and the types of interactions sales gerbils use is very similar to what your admissions folks do.   Easily customizable and it can create export files for pretty much any ERP.
