Lindsey Wilson College (Columbia, KY) does not offer that option for retired employees.

At FDU, all faculty who retire may keep their email account for life. Note: this is only for faculty retiree’s.

At Mercer only retired faculty are allowed to retain their e-mail account, but we are discussing the possibility of offering the option to retired staff.

While we’re on the subject, do any of your institutions have a “definition” of retirement or specific requirements for someone to be eligible for retirement?

We provide email account to all retired employees who request one. We've had a small number of one off extrapolations of this policy, e.g., when a retiree passes away and the spouse requests to keep the account because it's the only email account s/he ever used. A situation like this is referred to an appropriate senior level executive who can approve an exception that is in the best interest of the college.

We also provide email accounts to all retirees. I don't understand why you would give it to a retired faculty member and not a retired staff member.

In response to the question from Mickey below, the HR department codes people who are retired. That way IT stays out of the decision of who is retired. Just because someone is 70 and finally decided to stop working and says they are are retiring does not make them officially retired from the college. HR has guidelines on what determines a person is retired from the college and eligible for benefits.

At Emporia State, a retiree can request to keep their account.

If they do so, we transition them from Exchange to a Gmail account that the university maintains.

At Marylhurst University, we accept special request to keep accounts active. Its a way to keep communications open. The costs of archiving, and keeping the account open are minimal.

We typically give a 30 day transition period before deactivating the account. We will also provide forwarding for a period of time usually ranging up to a few months at most. Our AUP becomes unenforceable once an employee leaves so I can’t really see how we can permit continued access to network resources.
