Hello,

We are in the process of migrating from Novell GroupWise to Google Apps. One of the major differences for us is the use of groups instead of distribution lists for all campus mail. I'm curious to see how other institutions made the transition to groups and how you are sending campus wide email messages.

Specifically, do you have separate groups for different types of students or faculty vs. staff?
How do you manage who can post to the groups?
For those not syncing with active directory, how do you deal with users un-subscribing from lists?

Any input would be appreciated!

Thank you,

Hi Kathy

Specifically, do you have separate groups for different types of students or faculty vs. staff?
All of our GroupWise distribution lists were recreated as Google Groups.
All of the groups we use for system distribution lists are named with a # as the first character which makes them easy to find when composing a message.
We maintain one student group and it includes only students for the current academic year. Only selected users can email this group.
One employee group includes everyone, others are maintained for Faculty, Staff, Administrative.

How do you manage who can post to the groups?
Some groups are configured so only members can see it and post to it, others are open to anyone in the domain.

For those not syncing with active directory, how do you deal with users un-subscribing from lists?
We don't sync with AD, group members are added either in bulk or individually as needed.  Members are allowed to unsubscribe however they rarely do.

Don't know if this would be of use but this is the training resource we put together during our move.

Hi Kathy,

We just moved this past summer from GroupWise to GAE.  http://inside.augsburg.edu/it/moving-to-google-apps-for-education/  It was a great move.  All of our mobile issues vanished.

We did and still do run our mass email lists off sympa (faculty, staff, students).  Any groups in google are limited to membership posting only.
