I am exploring solutions which can assistance in managing the large number of volunteers we have offering their service(s).  I assume this will be a combination of software and organizational policy/structures.  Can anyone who feels their approach is a successful please send it onto to me?  I am outlining my initial list of concerns/ideal requirements for any solution.  I have seen some solutions which have some of these features but would like to ideally host them in one or few solutions.  The closest I have been able to find would be a filemaker solution but am hesitant to begin deploying a filemaker based solution. In my experience when FMP is scaled on a large basis seems to become a bit unmanageable.

Technical requirements:
OS agnostic and device flexibility (iPhone, iPad, Android, ???)
Managers of the data would either a web-based form but could be a rich client that ties into mysql database
Potential volunteers (both internal and external volunteers) would be web-based
Flexibility in types of skills or service offers
Flexibility in entering times available. (Mon - afternoons but Friday all day)

Reporting capacity
Hours volunteered (by event, individual, and art emphasis (we are a public arts charter and so have specific arts focus areas.))
        Hours needed

Nice to have
        Dashboard capabilities.
        Management tool via ipad

Thanks in advance.

You might examine the Not-For-Profit IT realm. They do a lot with volunteers and probably have solutions at hand. Museums, environmental organizations, social support agencies,  etc.

Best, Rob

Consumers Guide to Volunteer Management Systems
May, 2011
Volunteer-based organizations have to keep track of a lot of data—for example, contact info, schedules, time sheets and job sites—and the right software can help, freeing time for managing volunteers. There are a number of products out there to help, but it’s surprisingly hard to find information about them.  This report is geared to remedy that!

Salesforce has a great app for volunteer management.  It is relatively new, but is getting good feedback.

David, One of my former colleagues is now the CTO at iYouVo, a company creating a social network focusing directly on the needs of volunteers and volunteer managers.  Along with simple volunteer management tools, their site has some innovative ways to engage volunteers, encouraging them to keep track of crucial information such as hours and recruits and help raise funding. They are working with several colleges and universities around closed SaaS based solutions that can satisfy all of these requirements and include optional integration with their public site. Although the site is still being developed, it sounds like they are already addressing many of the items you mentioned. I believe they plan to attend next week's EDUCAUSE conference, so you might be able to follow up with them directly there if you are attending. Otherwise, you can find more information on their website at Web Site: www.iyouvo.com Contact email: info@iyouvo.com Good luck David! -Jim James Thomas Director, Enterprise Software Indiana University

Craig,

I found your earlier email and a few others.  Downloaded the report which will be a great start.

Thanks again, Neil
