Tim,

I'm not prepared to make a general case for a CIO position, but I thought I would make a quick point... as you have already mentioned IT touches practically every aspect of university business/life.  In a previous position, I reported through different channels (administration struggled with what to do with IT).  At first, I worked for education and I had an education filter from my representative in administration.  My boss was only really concerned about education (appropriately), but I had to go back each day and support to the best of my ability and resources many other functional areas.  Later IT was moved under Marketing... and I had a marketing filter from my representative in administration.  My new boss was really only concerned about marketing, but again, I had to find time and resources to support other functional areas.  At times it even created conflicts at the...

Dear CIOs,

At the University of Cape Town (in South Africa), we would like to assess the usage of PCs across our student labs so that we can identify if some of the labs are underutilised, which students use them most, etc.

Do any of you run any such systems?

What is your institution using for performance evaluations? A hosted product, a homegrown solution, or something else?

One area we’re investigating is SharePoint-based, with the thinking that its workflow and document management foundation would be a natural for a portfolio-type system. To scale it out to thousands of staff, though, would require quite a bit of custom development.

Any thoughts would be appreciated. Thanks.

Dear all,

I want to thank the Microsoft Higher Education team for coming to our rescue.  We issue Thinkpads to our students, and to date have transferred ownership to graduating seniors. Unfortunately, we failed to update our communications to reflect changes in the past year, and as a result we did not properly tell our soon-to-be graduates the steps they needed take to keep Microsoft Office. As a result, our grads were losing access to the university-licensed Office with no recourse but to purchase at retail.

I reached out to Jim Ptaszynski, Senior Director of World Wide Higher Education, at Microsoft and explained the bind we had created for our grads.  He reached out to our Microsoft account team and they quickly helped us resolve the issue for our grads.

Microsoft did not need to do this, and it cost them sales to do so.  But they saw an honest mistake by us and chose to intervene to prevent any harm....

With the recent news surrounding things like JAVA vulnerability code found in the wild,  I’m wondering how many of you currently allow users to have local administrator’s rights on faculty or staff machines?

If you do, can you explain if you’ve taken any precautions to minimize the exposure?

If you don’t can you discuss whether that decision was a difficult one to get approval on (if needed) and what you did to implement (local/group policies either using MS tools or perhaps a third party tool)

Thank you

We're developing something in-house to track acknowledgements (e.g., read and acknowledge a policy) and certifications (completion of training, including online) in LDAP for the whole university system as part of our identity management infrastructure. That way it can be readily integrated with our provisioning and deprovisioning processes where appropriate, including for sensitive systems/information. david

Recently, there has been a renewed interest on campus to obtain and store the email address of parents.  Some of this information is gathered during the admissions process, however, many of our applications come through the "common app" and parent email is not a required field.

Are any institutions collecting parent email and how?

What purposes is parent email being used for?
- emergency contact?
- notice about student records / financial?
- general campus activities?

For institutions using parent email for "non-business" related contact, do you offer opt-out/opt-in?

Thanks in advance,

Hello all,

I wanted to reach out to see if anyone has recently (within 2 yrs. or so) gone through an assessment and selection of Research Administration Systems (Kuali Coeus, InfoEd, Click Commerce Etc.) and would be willing to share their results. We are currently looking at which direction we are going to go in this area for replacing our home grown system after 20 years and want to see if anyone else has gone through this process that we can get some experience from.

This was previously posted to the Research Computing Constituent Group so I apologize for any cross-post but I wanted to see if I could get some additional responses.

I’d be happy to share what I gather with anyone who is interested and may also be looking at this space.

It does seem logical, but my experience indicates that there are factors that have to be considered with any charge-back model.  As a result, over the years, I've tried to eliminate all charge-backs.  Would your university commit to the budget without allowing exceptions?

One factor to consider is competition, in terms of perceived price-per-service.  I use the word perceived thoughtfully, as folks outside central IT, without any deep understanding of technology, can analyze costs very differently from an experienced IT view.  If your university doesn't enforce a centralized view of cost analysis, the price of your service and the price of what might appear to be the same service provided by an outside company can be compared by the client community.  For example, a few years back we had charge-back long distance telephone service at the same time long-distance calls could be made on purchased calling cards.  So the community...

Issue #8: Transforming the Institution's Business with Information Technology

Many institutions have already used information technology to achieve efficiencies. But "transformation" is a word du jour. Information technology allied with process reengineering and continuous improvement is the pathway to transformation. All aspects of higher education are being transformed, including teaching and learning, scholarship, research, institutional advancement, admissions, and administrative services. Information technology is never sufficient, but is almost always necessary, for those transformations to have both efficient and effective outcomes.

Greetings!
Looking for thoughts, recommendations, and experiences with using online IT testing instruments as a way to evaluate the competency of potential candidates.  My group his constantly seeking desktop support consultants, and we have had some difficulty finding candidates with the right technology experience and skill set.  For our purposes, I'd be looking for a tool that can assess a candidate's basic understanding of networking, Windows and Mac support, basic IT concepts, client-server, etc.  I'd guess that questions from CompTIA and Microsoft cert tests would be relevant for my need.

Does anyone out there have experience with anything like this, and/or possibly recommend services to consider?
Thanks in advance,

How do you handle immunizations for students?  Do you have a system to track immunizations?

I found several with a google search:  American Databank, Verified Credentials, Certified Background, Mediease, Medicat, Medatrax, Nuesoft, Do you have any experience with any of them?

Do you put a hold on registration if immunizations are not met?

I’m especially interested in hearing from health science schools, like us, who need up to date immunizations in order to send students out on clinicals, such as nursing programs, etc.

Ethan,

I think you and Kyle are making a very important point that retention policy has to address removal at the appropriate time as well as retention. My feeling is that every institution is going to have to come to grips with this in terms of what makes sense for that particular institution. My previous institution was a State University and we had to comply with the State retention policy for Massachusetts State Agencies. That ignored students but had very strict rules for employees with different retention policies based on the content of the messages. The rule of thumb was 5 years for messages involving decision-making (with lots of exceptions and caveats), but for messages to or from senior staff (VP and higher) the retention period was “permanent”.

Thankfully I’m now at a private institution where we can...

I have been thinking about this lately. What do you think? Victory depends on conditions that are always in flux. The leader must recognize a momentary advantage, capturing it as it arises. Such victories cannot be set aside for future use, nor can they be taught. These opportunities happen daily. How one takes advantage of them to move an organization forward is what makes a good leader better. One is never completely ready or informed when these decisions are made. It is more of an art than a practice. If done well, things just seem to keep moving and changing without issues. ********** Participation and subscription information for this EDUCAUSE Constituent Group discussion list can be found at http://www.educause.edu/groups/.

Has anyone found a good solution to authenticating across multiple cloud-based sites?  We have been looking at a provider named PingIdentity to try to tie our sites together, but it’s expensive and it’s hard to get all the players to agree to using the Ping model.

It seems that our new business model is going to lead us to have more and more cloud-based solutions which need to interoperate well together in order to give our students a seamless experience (LMS, electronic library, ePortfolio, discussion forums, etc.).  Most allow themselves to be branded fairly easily so that users will not notice that they’re going from one site to another, but very few are sophisticated in their use of web-based authentication standards like SAML.  As a result, even though the sites look similar, each needs to ask the user to authenticate (potentially with a different...
