Hello,

                We are in the process of building an RFP for an e-commerce solution so that we can take on-line payments for tuition as well as other events and areas on campus. We have a home grown system, but looking for the opportunity to move to a standard system that would be supportable as we grow. Is there an institution that has recently gone through the process that might have an RFP that they are willing to share  as we start this process?

Over this past year InCommon has worked closely with NIH and NSF to leverage InCommon for services they offer. NIH and NSF are engaging with InCommon but we need institutions to come forward and participate in leveraging these services through InCommon.

Good morning!

 

Since my coffee pot has stopped working this morning and I have not had a moment to kick my mind in gear, I am in need of your advice.

 

Next month, we are hosting a major event that will take place in our chapel. As a result, this has helped to expedite the installation of my new Chapel AV system project. I am sure that those of us who struggle with moving limited-resource-based projects can understand my elation!

 

I was just informed that due to the seating capacity, I will have to be able to broadcast the event in multiple locations around the campus. Colleagues,

Like many of you, we are using our student ID cards for dorm access as well as a financial “one card”. We have been a lenel shop for years. Lenel is great for building access but very weak on the financial side. We are using C-Bord for the financial side of our ID card system. Needless to say there are issues with each piece of this solution. We have the dorm access folks (out of campus police which reports to student affairs) who want to migrate us to RedCloud from Lenel. The C-Bord folks (Admin and Finance) want to move the dorm access piece from Lenel to C-Bord.  Needless to say, IT is caught somewhere in the middle.

Has anyone a suggestion for a consultant who can come in, assess the technologies we are using, interview all parties involved and make a recommendation as to a “one card”/access solution for our institution? We do not want this...

I started to draft a mobile device policy.  There are basic guidelines.  For example,  local PIN or ‘pattern’ to unlock, 10 attempts to unlock automatically wipes device, etc.

 

Do you have a similar policy?  Also, have you contracted with any 3rd party providers regarding policy enforcement.   If so, would you mind sharing your experience?

Dear Friends and Colleagues: We are a Datatel shop ( born 1984). Our security access needs a 100% overhaul and we are not yet in a position to begin it. The question I have is about fields that are purposefully hidden from Datatel users (not faculty or students but administrators entering data into the system.) 1. I assume SSN should be hidden or masked from nearly all users. 2. Similarly, things like salaries are secured and limited. 3. What about date of birth and home addresses? We have an administrative user who insists DOB should be hidden. Any thoughts about this? My concern is that we are beginning a major "re-migration" to a clean (non-customized) version of Colleague. All of my staff are working on projects with this long term goal in mind. I am trying to minimize the temporary (but intensive) programming efforts requested to support the current (old) code. Is hiding and securing DOB critical? Are there legal concerns like with SSNs? Along these same lines, does...

Our IT team spend a great deal of time provisioning, configuring and supporting cell phones and G3/G4-connected devices for employees.

Our university system policy recently changed, so we will be moving some employees to a stipend system that will reimburse them if they use their personal phone for work.

However, I would appreciate hearing from any institutions that are having their cell phone providers do setup, provisioning and support of campus-owned phones -- or otherwise outsourcing that service.

Colleagues:  I've asked my Customer and Training Services Manager to develop an ongoing list of the best Mobile Apps that our faculty, staff and students might use here at the University.   We're gathering information from within, but I was hoping that collectively we could all share (or point toward resources, articles that already have this information).   Obviously we're looking for Mobile Apps that improve productivity or add value to academics (classroom), administrative functions, student success, etc.    We're asking them to provide the NAME, COST (if any), DEVICE THEY USE (iOS, Android), and a BRIEF DESCRIPTION.   When the list is compiled, I will definitely share with everyone via this ListServ.   Any input that each of you can provide is appreciated!

We are wondering if there is such a thing as a service that one can engage to alert the institution to new compliance requirements. Of course staff people in the different offices each have their professional organizations like Educause, ACUTA, NACUA, AACRAO, etc., that update us on new regs as they come out. We are envisioning a customized professional service that gives us updates based on our institutional profile, e.g., we don't have a medical school or health service, we don't have undergraduates, we are located in NY, etc. We could use it as a quarterly check to be sure that we have all of our bases covered.

Is this something that exists, or should a couple of us start a new business to provide the service? :-)

The CIO list community was recently discussing “Web content filtering” in response to a query from Richard Nelson. My impression was that most places do not filter web content.

 

My director of network services came to me yesterday with the three way balancing act described in the subject. I assume those who don’t filter content have ways to limit or prevent the malware/virus that are associated with certain kinds of sites. I would be interested in hearing how. Is this the old axiom “you can pick two of the three” …

 

I can see several options:

1.    A laissez faire approach where sites are not scanned and malware is managed at the desktop by a user support team.

Our institution is in the early stages of putting courses and programs online. As we move forward I have been asked to solicit information on the question below (in bold) which is from our accrediting agency.

 

If you have online courses how do you verify the identity of the individual completing the coursework?

 

I have also been asked how we identify the student sitting in the classroom course as the correct person who is registered for the course. We do not have any way of doing that now other than relying on the honesty of the students and the vigilance of the instructor. Do you have any process to confirm the identity of the student in a course taught on you campus?

I hope you had a great holiday season!  I wanted to give you a quick update on activities from The Center for Higher Education Chief Information Officer Studies (CHECS) (www.checs.org). 

CHECS has begun an exploratory collaboration with EDUCAUSE.  I believe this collaboration makes a great deal of sense and that it will benefit the higher education technology leadership profession.  EDUCAUSE Vice President Susan Grajek, Toby Sitko, Pam Arroway, Mark Sheehan and others at EDUCAUSE have been very helpful in providing feedback on the surveys used in the research.  I will be providing a copy of the reports to ECAR subscribers in 2012 and I will be presenting the results of the research at EDUCAUSE conferences.

Colleagues: We just submitted our data for the Campus Computing Survey today, and I wanted to ask everyone who hasn’t completed this year’s survey to please participate! Two years ago my campus undertook a comprehensive external review of all operations, and the external consultants reported that IT had very detailed benchmarking data, mainly because we participate in the Campus Computing Survey and the EDUCAUSE Core Data Survey.  As we conducted our external review we found the two surveys complementary, and together they provided a very complete picture of how my institution compared to various benchmarking groups.  I encourage you all to take part in these important initiatives. Two more interesting themes at the Educause Conference this fall are mobility and BYOD.  There was much discussion about these themes in our summer Top 10 Issues.  Merit Network, here in Michigan, recently sponsored a BYOD day, and we found that the audience blended these two themes into one discussion realm.  Some conference items you may find interesting, from a variety of perspectives, follow, but this is just a partial list - note that mobility is one of the searchable themes.

At UNSW – Australian Defence Force Academy we have got a list of all ICT Unit staff members and their respective skill set.

Each individual skill has a score (0 – 3), depending on the knowledge level of the individual. The staff skill set documentation (a simple spreadsheet at this stage) is updated through the year according to the training attended by each staff member.

 

The annual training program for each individual is developed at the beginning of the year based on needs to extend existing skill sets and develop new ones (e.g. due to new projects, system upgrades, increase in seniority of staff, etc) – we name it “Professional Development Plan (PDP)”.

Colleagues,

 

We recently transitioned from Blackboard to Desire2Learn (D2L).  An adverse result of our transition has been a compliance issue with financial aid regulations for verifying last date of attendance with a meaningful educational activity.  We (IT) have been working with our Financial Aid Office and with D2L with poor results.

 

Basically, D2L can generate a date and time that the student last logged into the system, it cannot determine which course and whether the student completed an academic related activity.  We are also unable to determine whether students have engaged in all of their classes as required.  Since this is the only data that we can retrieve from the system we will use this information, however, this is considered insufficient and a compliance issue.

We are looking at ways to enhance our students’ registration experience.  There are 3 things we would like to do:

 

1)       When the student attempts to register for a class we would like them to have the ability to get information about the faculty member.  I envision the name of the faculty member teaching the course being listed and when the student clicks on his or her name they get a short bio.

2)      They are able to click on a link to see the syllabus for the class.

3)      They can see what textbooks are required and what the costs are for those textbooks allowing them to even make the purchase.
