At University of Alabama Huntsville we will complete our wireless implementation for the campus this summer, an implementation which includes several student residences. As you might imagine, some of these residences are quite old with cement block walls and many of the infrastructure problems typical of trying to retrofit an old building to get complete wireless coverage with the expectation of a high density of use. Our existing deployment (briefly) consists of WISM2 controllers and Cicsco a/b/g WAPS. We will definitely plan for 802.11n, but I would like to know whether you are considering support for 802.11ac in your near-term deployments. My belief is we can keep the WISM2 controllers, but positioning for the 5GHZ with WAPS that support that frequency is the right way to go because the students will be the first ones to have the new mobile devices the marketplace provides. We are considering DocAssist as an imaging solution for Admissions Applications, and then perhaps for Financial Aid. We receive most of our applications through the Common Application.
It would be helpful to know if this general purpose tool ( http://docassist.us/solutions/by-industry/education/ ) is in use for any similar business functions at any other schools. I was a little surprised that the account representative did not know of other institutions using the product.

Rob,
I've stepped into a role similar to where you are. Our IT organization is good at the utility computing, but has a reputation for not really working with the faculty/staff very well. I've been focusing on a few things (based on a report we had done by an outside consultant before I got here).
1- Enhancing our educational technology (and support for it).
2- Creating a formal governance process so everyone feels the have a voice and are involved in the IT decision making process.
3- Develop a customer service focus. As Gene said, much of the utility portions can be done by anyone, but an organization with a customer service focus and a willingness to work with faculty and staff to help them be successful can't really be outsourced.
4- Documenting systems of record for all our data types and integrating systems where needed. This is a pretty big one, as we have many unconnected systems with conflicting data.

We are just wrapping a draft of our DR plan. Today the committee had a debate about system password for servers and whether or not to include them in the plan (either hard copy or electronic). There are obvious issues of security to consider but if all our people were unavailable, it would certainly be advantageous to have passwords available for an outside DR team to come if necessary.
Has anyone addressed this issue? I’d be curious to hear how others handle passwords in their DR plans.

We are getting an increasing number of requests to put devices such as menu boards, display monitors, etc. on our wireless network. We are concerned what this might mean, in terms of security..however, I suspect many out there have already made decisions in this area...and/or have polices in place and/or could tell us we are being too paranoid.

I am looking for a little insight into a CRM “beta” product from Fire Engine Red. Does anyone have knowledge of FER’s CRM project? The website doesn’t reveal very much and the one school (one of two reported beta sites) we have spoken to, hasn’t inspired much confidence in the software at this point. Our understanding is that the CRM doesn’t currently exist as a standalone product rather it is a group of disconnected applications that the company plans to join. Our undergrad admission’s department seems to be enamored by the promises of a great application soon to be revealed but I am having trouble lending my recommendation to something that doesn’t currently exist. We have tried calling FER and while they seem to be in contact with our Admissions dept. they won’t return our (IT) calls. Any information would be helpful at this point.

I’ve been approached by a county department that would like to rent rack space at the college for their DR site. I’ve got available space, but don’t have a clue on what I should charge them. I’m guessing companies that do this charge so much per “u”. The county dept. is willing to bring in their own fiber so they wouldn’t be using the college’s bandwidth.
If your college does this I’d like to hear from you or if you rent space for your DR I’d like to know that the going rate is.

I'm not prepared to make a general case for a CIO position, but I thought I would make a quick point... as you have already mentioned IT touches practically every aspect of university business/life. In a previous position, I reported through different channels (administration struggled with what to do with IT). At first, I worked for education and I had an education filter from my representative in administration. My boss was only really concerned about education (appropriately), but I had to go back each day and support to the best of my ability and resources many other functional areas. Later IT was moved under Marketing... and I had a marketing filter from my representative in administration. What is your institution using for performance evaluations? A hosted product, a homegrown solution, or something else?
One area we’re investigating is SharePoint-based, with the thinking that its workflow and document management foundation would be a natural for a portfolio-type system. To scale it out to thousands of staff, though, would require quite a bit of custom development.

I want to thank the Microsoft Higher Education team for coming to our rescue. We issue Thinkpads to our students, and to date have transferred ownership to graduating seniors. Unfortunately, we failed to update our communications to reflect changes in the past year, and as a result we did not properly tell our soon-to-be graduates the steps they needed take to keep Microsoft Office. As a result, our grads were losing access to the university-licensed Office with no recourse but to purchase at retail.
I reached out to Jim Ptaszynski, Senior Director of World Wide Higher Education, at Microsoft and explained the bind we had created for our grads. He reached out to our Microsoft account team and they quickly helped us resolve the issue for our grads.
Microsoft did not need to do this, and it cost them sales to do so. But they saw an honest mistake by us and chose to intervene to prevent any harm....

With the recent news surrounding things like JAVA vulnerability code found in the wild, I’m wondering how many of you currently allow users to have local administrator’s rights on faculty or staff machines?
If you do, can you explain if you’ve taken any precautions to minimize the exposure?
If you don’t can you discuss whether that decision was a difficult one to get approval on (if needed) and what you did to implement (local/group policies either using MS tools or perhaps a third party tool)

A colleague posed a question to me this week that left me wondering about conflict-of-interest policies related to union leadership working within IT. The question was - do they exist?
The context - some IT positions have covert access to all employee files, emails, correspondence, etc. The nature of the job requires it. (Disclaimer - our IT staff are awesome and fully trustworthy - but the fact that they *can* do this makes some folks nervous. I find myself defending this need from time to time. )
The question - are these IT employees held to a different standard or degree of responsibility given the power they have? Are there policies or controls? Should they be actively involved with union negotiations, grievances, or other highly sensitive issues that traffic our infrastructure? What if we hire someone who takes advantage of these tools?

Succession planning is important for several reasons.
- 100% of us will get sick - no human is exempt. We may suffer an injury. We need to know that we've adequately prepared someone to step in our shoes should we need to be out for an extended period.
- We can prepare people for the CIO job on our campus - or the campus down the road. It doesn't matter. The campus down the road may be training our next CIO. It is an industry responsibility. The effort is never wasted.
- If my campus believes that a successor is better than me and is ready to take my place, I need to make sure my skills and abilities have prepared me to get the next job. I can't rest on my laurels. Many of work in environments where our positions are "at will" anyway, and we can be asked to leave any time. I need to be prepared to land successfully; you need an exit strategy and an landing plan regardless of your...

How is web support/development/strategy & branding handled at your institution?
Who owns what piece?
Our web marketing team reports to the VP for Institutional Advancement. There is also another unit “Communications and Marketing” reporting to the same VP. Basically, the folks on campus have two people to talk to for marketing which causes confusion from time to time.
We still struggle with content management and ownership issues resulting in outdated pages. The team’s primary focus is recruitment/enrollment marketing so other intranet web efforts and custom web apps development take a backseat or are low in priority on the laundry list.
I’d like to get some feedback/opinion/insight on alternative structures.

We've received a request from one unit within the university (fewer than 20 people) to find a way for them to use Gmail exclusively for their email services, but within our @scu.edu address space. That is, they want all email sent to
specialperson@scu.edu, whether from on- or off-campus, including campus mailing lists (MailMan), to go to a Gmail account transparently, and for all messages sent from that Gmail account to be perceived as coming from
specialperson@scu.edu by recipients both on- and off-campus.
We can figure out how to do this by adding a sub-domain (specialperson@specialpeople.scu.edu) but that's not acceptable to the unit. The unit states that problems with our email system are causing
them to lose external donations...

Hello,
I have been struggling since I started in HE (~4 yrs now) getting a respectable number of qualified applicants to apply for our IT positions. These are good, challenging positions with decent pay and solid benefits, and yet, I don’t get nearly the number of qualified applicants (let alone applicants at all) that I would expect for the types of jobs I am posting. I believe our HR department is “advertising” these IT postings via the same channels that they advertise all postings for the College, and that got me wondering what everyone else uses to get the word out that they have an opening in IT they are trying to fill.

If I recall correctly we pay the licensing fees for performances, choral
groups, etc.
I seem to recall that this kind of threat was happening a few years
ago. Their letter says "Please understand that your institution remains
unlicensed and is therefore infringing upon the copyrights of ASCAP
member songwriters and music publishers, and has been so infringing
since July 1, 2007."
What is the status of this on your campus?

I just had a sobering conversation with Adobe about their licensing
requirements under a Virtual Device Interface (VDI). Essentially, we
would have to move to their ELA licensing program which charges out by
student and employee FTE. In looking at Microsoft Campus Agreement, I
anticipate that VDI deployments would also require that the institution
maintain a license that also covered the entire FTE structure.
I'd like to hear from those who are considered or deployed VDI and what
sort of licensing issues you are facing. In particular, if you are now
using VDI, did you already have students covered in your license
agreements? If you are in VDI, have you been able to solve the
licensing issue that is not based on FTE?
If you are considering VDI, do you have creative solutions about
licensing so that you are not faced with an FTE multiplier?

We are planning to move our student e-mail service to Gmail (Google Apps for Higher Education). I am being asked by my project board to look in to the option of enforcing e-mail retention policy (i.e. 360 days). Has anyone done that with student e-mails using Gmail? Google does provide a service in conjunction with Postini that costs about $25 a year per user – very cost prohibitive for student e-mail solution.
Please let me know if you have been able to address the retention issue in some fashion without breaking the bank.

Dear Friends and Colleagues:
We are a Datatel shop ( born 1984). Our security access needs a 100% overhaul and we are not yet in a position to begin it.
The question I have is about fields that are purposefully hidden from Datatel users (not faculty or students but administrators entering data into the system.)
1. I assume SSN should be hidden or masked from nearly all users.
2. Similarly, things like salaries are secured and limited.
3. What about date of birth and home addresses? We have an administrative user who insists DOB should be hidden. Any thoughts about this?
My concern is that we are beginning a major "re-migration" to a clean (non-customized) version of Colleague. All of my staff are working on projects with this long term goal in mind. I am trying to minimize the temporary (but intensive) programming efforts requested to support the current (old) code.
Is hiding and securing DOB critical? Are there legal concerns like with SSNs?

Good morning, Colleagues!
At Wiley College, we have come to a crossroads. We are trying to decide what the best practice is for providing our resident students with telecommunications services. While we have been looking at installing an ATA adapter solution (utilizing an analog adapter and controlling the port), we recognize that the solution will enable our students to have access to phones in their rooms, utilizing standard “Family dollar” analog phones. The main advantage being that we would have the ability to control communications, placing us in a position to utilize the system as a revenue generating stream.
My question…Is there a value to having this service available for our students?
