For those of you that are on Live@EDU. Have you found a solid way to get Microsoft support to properly escalate an issue and see it through to resolution?

 

We’ve had a ticket open for a problem with the University president’s calendar for almost three weeks now. Supposedly they have escalated the ticket, but for the last three days we are still only hearing back once/day if that and each day being told that we should expect an answer by end of day.

Good Afternoon!

Having followed this group for a long time, I decided it's time to ask for some help with a tough nut for us. 

Here at the University of Maine System we woefully need to provide a solution for our Sponsored Programs areas.  We are a Peoplesoft Financials/HR/Campus Solutions institution, and in fact own the Grants, Contracts, Projects, Billing, and Receivables modules (affectionately called "The Phase II that hasn't happened yet").

We are beginning the business case development effort as informal estimates we have gathered make this a $1.5 to $2 million dollar effort--miles above our business case threshold. For a long time after our PeopleSoft implementation we heard "anything but PeopleSoft", but we are now in a situation where a number of faculty will choose to work with other institutions before being the PI and dealing with our local homegrown systems and...

We use a product called Nessus from Tenable software.  It is an annual subscription that is fairly inexpensive.  It will do constant probes on your network and report on a multitude of things (misconfigurations, unpatched software, etc.).  You can set it up inside or outside your network (or both).

Folks,

 

I clearly struck a nerve with my questions yesterday, and have heard from roughly 100 CIOs in the past 24 hours.  So this seems to me to be a community issue rather.  No need to send me more indications of interest – it’s obviously something that many/most of us are facing.

 

I was reminded in one email of the similar conversations that took place between our community and Microsoft some years ago.  There are some good lessons to be learned from that experience.

 

I was also reminded that Adobe has a customer advisory board, and that some members of that board are on this list.  That communication channel can prove to be very valuable, and with their permission, should be leveraged.

We are exploring the possibility of expanding some of our summer activities for children to include multi-day and overnight camps. If you offer similar programs, to what degree do you provide internet access (wireless, computer logons, etc.) to minors? As with most other colleges, we do not provide any web filtering and we are concerned about minors accessing inappropriate content via our networks. Minors who come to campus for classes and workshops must have their parents sign a consent form where they acknowledge that we do not provide any filtering but with possible significant increases in the number of children, this will become an onerous task.

 

Do you provide network/internet/computer access to minors enrolled in summer classes, music programs or camps?

Colleagues,

We've had a number of issues crop up this year where students (presumably) have created "anonymous" Facebook sites or Twitter feeds that have served to foster and promote campus rumors, gossip, anonymous confessions, and the like. Much of the content on these sites is misogynistic, or focused on partying, alcohol, etc. Today, sadly, someone posted about a suicidal thought.

Each time one of these sites crops up, our Student Affairs folks have turned to ITS to ask what we can do to find out who's behind the sites, and/or shut them down. To my knowledge, there's not much we can do about them. 

They're also asking for "best practices" -- what other institutions are doing to monitor, manage, control, and/or shut down these types of sites. So, I'm turning to you all -- are you seeing these types of sites at your institution, and if so, how are you dealing with them?

I guess there is comfort in knowing “we are not alone” in dealing with Adobe license changes – but there is high dissatisfaction (at least on my part…) in the direction their licensing is moving.

We currently have a hodge-podge of different setups on campus to record students preforming tasks for later review and discussion with faculty. Speeches in a  Speech class, interviews in a Human Services class, patient interviews in Physicals Assistant classes, simulations run in a Paramedic Class. I think we need to move to a consistent implementation of this process across campus if possible. In all cases we need to record both video and audio, in some cases there are multiple cameras needed to capture the task being performed. I am interested in any products anyone else might be using to accomplish this.

This topic generated much more dialog than I thought it would.  There were a couple sub-topics that were spawned as well. 

 

With regards to MIGRATING FROM ON-PREMISES EXCHANGE TO OFFICE365, a number of people were interested in sharing their experience, and an even larger number of people were interested in being kept apprised of any conversations on the topic.  In an effort to try to meet both interests, I have scheduled a 1 and a half hour long conference call on the topic for Wednesday, March 6th at 10am CST.  There were people on the Pacific Coast and in Europe were who interested, so I tried to schedule a time that would inconvenience all equally. J  I tried to schedule it far enough in the future that you all might be able to adjust your schedules to attend, but not too far out.

Our advancement VP has chosen Razor’s Edge (i) enterprise and DonorPerfect Online. I am reaching out to all of you who use or have used one of these two products. Dear Colleagues:

 

Here at Hopkins, we have been plagued with problems relating to the integration of iOS devices (iPhone, iPad, etc.) and our Microsoft Exchange servers.  The most egregious problems are related to calendar synchronization with appointments disappearing from a device leading to unreliable calendars.  The more this is happening to our senior leadership and our faculty, the worse it gets for IT!  I am aware that this is a widespread problem, not one unique to us or our environment.  Today, I heard of an organization (not a university) that moved its executives back to Blackberries because they were far more reliable.  I was curious how prevalent the problem has become on other campuses and what, if anything, you have been able to do about it.

This isn't all that new or different, but then the individual presentation will be followed-up with an appeal for money. We have begun considering printing expiration dates on our student ID cards so that they are more of a formal ID, perhaps even good for the photo ID for voting purposes.  We would like to understand how others determine what expiration dates to use, or if you are even considering ding this. 
 
Do you give traditional students four or five years before expiring the card?  Do you shorten the expiration length for transfer students?  If yes, do you go so far as to determine the number of credits being transferred in to make the determination?  If you have a nontraditional adult population, do you give that group a longer time before expiration?  Is this all manual or were you able to automate the process?  On the flip side, if you choose not to print expiration dates on the cards can you explain why?

A colleague posed a question to me this week that left me wondering about conflict-of-interest policies related to union leadership working within IT.    The question was - do they exist? 
 
The context - some IT positions have covert access to all employee files, emails, correspondence, etc.   The nature of the job requires it.  (Disclaimer - our IT staff are awesome and fully trustworthy - but the fact that they *can* do this makes some folks nervous.  I find myself defending this need from time to time. )
 
The question - are these IT employees held to a different standard or degree of responsibility given the power they have?  Are there policies or controls?  Should they be actively involved with union negotiations, grievances, or other highly sensitive issues that traffic our infrastructure?  What if we hire someone who takes advantage of these tools?

Succession planning is important for several reasons.
  • 100% of us will get sick - no human is exempt.  We may suffer an injury.  We need to know that we've adequately prepared someone to step in our shoes should we need to be out for an extended period.
  • We can prepare people for the CIO job on our campus - or the campus down the road.  It doesn't matter.  The campus down the road may be training our next CIO.  It is an industry responsibility.  The effort is never wasted.
  • If my campus believes that a successor is better than me and is ready to take my place, I need to make sure my skills and abilities have prepared me to get the next job.  I can't rest on my laurels.  Many of work in environments where our positions are "at will" anyway, and we can be asked to leave any time.    I need to be prepared to land successfully; you need an exit strategy and an landing plan regardless of your...

How is web support/development/strategy & branding  handled at your institution?

Who owns what piece?

 

Our web marketing team reports to the VP for Institutional Advancement.  There is also another unit “Communications and Marketing” reporting to the same VP.  Basically, the folks on campus have two people to talk to for marketing which causes confusion from time to time.

 

We still struggle with content management and ownership issues resulting in outdated pages.  The team’s primary focus is recruitment/enrollment marketing so other intranet web efforts and custom web apps development take a backseat or are low in priority on the laundry list.

 

I’d like to get some feedback/opinion/insight on alternative structures.

We've received a request from one unit within the university (fewer than 20 people) to find a way for them to use Gmail exclusively for their email services, but within our @scu.edu address space. That is, they want all email sent to specialperson@scu.edu, whether from on- or off-campus, including campus mailing lists (MailMan), to go to a Gmail account transparently, and for all messages sent from that Gmail account to be perceived as coming from specialperson@scu.edu by recipients both on- and off-campus.
 
We can figure out how to do this by adding a sub-domain (specialperson@specialpeople.scu.edu) but that's not acceptable to the unit. The unit states that problems with our email system are causing them to lose external donations...

We need a concise asset disposal policy. At Fairfield, we have a form that needs to be signed off by finance to dispose, but at that point we can do what we want with the defunct equipment. We’re donating, we’re pitching, and we’re debating selling. We need consistency. Does anyone have a policy (or procedure, or both) they love that addresses technology equipment disposal?

 

In addition, the question has been raised at computer refresh time, “Can I keep my old computer?” Does anyone allow this? If so – policy/procedure? Do you charge? Do you wipe clean?
