We used Segal + Gale to conduct the study leading to the eventual redesign of our current web site. They were very thorough. I have also used GFC our of Baltimore in a prior life who were equally good at testing the market, developing a strategy, information architecture and initial design. Given the magnitude of the project and the limited size of our web staff, we also engaged Northpoint to do the actual envelopment work on the site (using drupal).

We're developing something in-house to track acknowledgements (e.g., read and acknowledge a policy) and certifications (completion of training, including online) in LDAP for the whole university system as part of our identity management infrastructure. That way it can be readily integrated with our provisioning and deprovisioning processes where appropriate, including for sensitive systems/information.

Recently, there has been a renewed interest on campus to obtain and store the email address of parents. Some of this information is gathered during the admissions process, however, many of our applications come through the "common app" and parent email is not a required field.
Are any institutions collecting parent email and how?
What purposes is parent email being used for?
- emergency contact?
- notice about student records / financial?
- general campus activities?
For institutions using parent email for "non-business" related contact, do you offer opt-out/opt-in?

Hello all,
I wanted to reach out to see if anyone has recently (within 2 yrs. or so) gone through an assessment and selection of Research Administration Systems (Kuali Coeus, InfoEd, Click Commerce Etc.) and would be willing to share their results. We are currently looking at which direction we are going to go in this area for replacing our home grown system after 20 years and want to see if anyone else has gone through this process that we can get some experience from.
This was previously posted to the Research Computing Constituent Group so I apologize for any cross-post but I wanted to see if I could get some additional responses.

I am in the process of refining the terms of reference for the executive level committee that oversees our ERP environment, primary ancillary systems, and data interfaces between ERP and ancillary systems. My institution completed a PeopleSoft implementation recently, and we are adjusting our governance model.
I would appreciate any links or examples you have for effective TOR for senior level committees (VP, AVP level) that consider strategic planning and prioritization related to integrated ERP environments.

It does seem logical, but my experience indicates that there are factors that have to be considered with any charge-back model. As a result, over the years, I've tried to eliminate all charge-backs. Would your university commit to the budget without allowing exceptions?
One factor to consider is competition, in terms of perceived price-per-service. I use the word perceived thoughtfully, as folks outside central IT, without any deep understanding of technology, can analyze costs very differently from an experienced IT view. If your university doesn't enforce a centralized view of cost analysis, the price of your service and the price of what might appear to be the same service provided by an outside company can be compared by the client community. For example, a few years back we had charge-back long distance telephone service at the same time long-distance calls could be made on purchased calling cards. So the community...

Cornell uses the community source platform known as Kuali Mobility. It is device agnostic due to its underlying HTML5 technology and can be test-driven from here: https://kuali.org/mobility. Currently two other schools – U. Michigan and Indiana U – also use the platform, with other institutions in planning mode. If you have BYOD issues, I think you’d find it worth a look.

One of the Schools at Santa Clara is interested in offering continuing education materials in a completely online, continuous process fashion: prospective student signs up for a program, pays by credit card, works through material, completes an assessment at a satisfactory level, and gets a certificate of completion, without any more formal activities or interaction with School staff. They expect the topics they would offer in this way would be relatively dynamic, with lots of additions of new learning opportunities.
We're talking with them about quality control of materials and verification of learner and similar issues. We don't believe we can provide this kind of service using resources we currently have access to.
Has anyone done something similar and, if so, do you have recommendations for systems or vendors that would support such an activity?

I'm wondering if anyone that uses Banner ERP system has addressed the problem that baseline Banner supports only one due date per term for tuition and fees? If so, I would love to hear how you're handling this, if that is a problem at your institution. At my university we have multiple due dates per semester depending upon when individual classes begin and end within the semester - that is, we have multiple "sub terms" within a term.

- Generally, the firms that help get you up and running require a long-term contract (think 5-10 years)
- They provide the marketing and call center services to attract and retain students, skills that many schools would need to learn on their own (which many schools don’t have the energy/desire to do, at least initially)
- They often provide the programmers to build your e-courses, but the school provides the course content
- They usually incur the upfront costs, but after the courses are written, they make a...

Phishing, and our constituents responding to it, seems to be on the increase this year. Despite our efforts at educating our end users (posters, new faculty/student orientation, e-mail, …) we still have a handful of people who simply supply their credentials whenever asked. Often, to phishing messages that aren’t even credible. Seems to be fairly evenly spread amongst our faculty, staff and students.
What are others doing to combat this?

We have a policy of not modifying baseline code in our ERP system (we're running Banner). We're often asked to provide functionality that would necessitate core code changes, and we explain that we have a policy against it, and why. Typically, cost avoidance is the most compelling argument we advance.
What I don't have is hard, quantitative data to support our contention that modifying baseline code imposes real costs on the organization; everyone agrees that this must be true, but we don't have the numbers to back it up. Lately, we've had serious inquiries from higher up the food chain about the costs and considerations involved in changing our policies; they're willing to accept the added cost and risk, but they'd like us to quantify them.
Can anyone point me toward studies, surveys or other data to help me quantify the potential costs and risks involved in modifying delivered code? Comparisons of IT development staff size for...

The situation at Central Washington that Carmen relates is likely not that uncommon.
We had a similar situation at RPI, and although it may sound non-responsive, our solution was to increase our commitment to wireless in the residence halls, by increasing coverage, increasing capacity, and improving the quality of the service, perhaps imperfectly in some circumstances. The issues of cost and wireless "unfriendly" buildings were one we faced as well, but we did not see another way to meet all our requirements and objectives.
Having done that, we changed our policy, after meeting with some student groups to socialize the policy and get feedback, so that "students are no longer allowed to run their own wireless routers or access points." We are looking into the possibility of allowing access to our Banner ERP system (where SSN, grades, etc. are stored) via an encrypted wireless network. We would be using WPA2/AES with a pre-shared Key which would change on a regular basis. I would greatly appreciate any feedback that you can give on this. I would especially like to know if any of you are doing anything like this or are you just using wired connections. I know there is always a certain amount of risk involved with any network, but it would be helpful for me to hear from the community.

We're needing a video streaming server for some online courses we're offering and have had a couple of unsuccessful runs at getting open source Kaltura working. We're no strangers to OSS software, so the question arises, is anybody in higher ed successfully using the OSS version of Kaltura, or only the commercial version. And the second question would be, if you're not using Kaltura for video streaming are you using something else that is cost effective and good.

Wondering if anyone has a policy or risk assessment on use of their college network (wired port, routing, and Internet connection) by 3rd party vendors for transmission of encrypted credit and debit card transactions. We've got a vendor who wants to set
up a "self service" cafe in our Library. Students would swipe their credit/debit card on their equip, and presto, they get a sandwich out of a machine. The vendor wants us to provide a wired connection to the Internet for their machine. We feel the vendor
should pay for their own separate ISP connection and wired pathway, but wondered if others have a risk assessment, policy, SLA, data, or advice on it.

Recently we have been asked to look into the possibility of including the students photos as part of D2L class list and part of the class list that part of the students information system (SIS). If any of you have the students’ photos as part of SIS or D2L, can you share with us any FERPA issues you had and how you managed to overcome them?
