By stating you have 100% are you also stating that all students and all employees have cell phones? I know for a fact that that is not true here. In fact we have some IT staff who have not enabled SMS on their cell phones because they only use them for voice. Last time we surveyed our students (2 years ago) we only had 80% with cell phones and have some indication that even students are still not 100%. p.s. Out alert provider requires knowing the carrier, not just the cell number. How do you collect the carrier and how do you verify that the carrier is correct?

Hi,
With recent events, it is good that all of us think about being prepared to handle the potential for workplace violence.  In the best of all possible worlds, we would be able to monitor, involve critical parties, and avoid any harm.  

I suppose if you work over 25 or 30 years, it is reasonable to think that you may encounter one awful personnel situation in your own department.    It certainly is a blessing if you can avoid those situations, but the rarity of the event leaves most of us with little or no experience to rely on to recognize the potential of a harmful situation.  And yes, that potential can occur in our own IT departments.  My experience is that Human Resource departments can also be challenged about what to do; there is no manual and we are all working with the latest research and reports.

Good morning.

We are mainly an Apple campus when it comes to faculty and students. We have at any given time  MacBooks, iPhones, iPads, iPods, AppleTVs, etc. using the campus wifi network. A few months back we started having connectivity issues, i.e., dropping connections, unable to connect, etc. We are working with Aruba  to mitigate the issues, but still are sure of the root cause. Is anyone else seeing something similar?

A committee is being formed to look at ways to save energy on campus.  Of course, I have been invited to participate since computers use so much energy.  So, for any of you who have been down this road, could you please share your findings on things you did from the IT side to save energy.  I am looking mostly at the office and lab computers since we have already virtualized 75%-80% of our servers.

Also, were there any negative results due to shutting down computers at scheduled times or other tasks tried?

Any stats, tests, reports, websites, etc. will be greatly appreciated.

Butler University is in the process of purchasing policy management software for the campus (not just IT). 

 

Anyone using PowerDMS or PolicyTech and could share something about their experience?   Or decided against these in favor of something else?

 

The following is critical to us:

·         The ability to draft policies and procedures and route for changes and approval

·         The ability to track our policies and procedures are compliant with standards such CALEA, HIPAA, etc.

·         The ability to develop training materials

In the past we have offered a few key employees backup services for their office computers.  We use Atempo and load the agent on their computers to do the backups.  I am now looking at going with a service such as MozyPro or Carbonite to backup all employee computers.  What I would like to do is offer the service and pay for it from IT.  However, if some needs more than X-gigs backup'd, then I would expect the department to pay IT for the additional storage space in order to have them justify the need for extra storage. 

So, if you are doing something similar, I would like to hear from you on a few items:

1.  What service are you using to provide backups for employee office computers?

2.  Do you charge the departments for the service?

3.  How much do you charge for the service?

4.  Do you exclude certain file types from the backups?  If so, which ones?

Macalester is strongly invested in Apple equipment, though we're much smaller than TCU. 

1. Yes, we're seeing the same thing you are. 

2. We've been told that Apple's educational discounts are built into the prices we see on the institutional purchasing pages.  These discounts are much lower now than they once were, as Apple says they've lowered their prices across the board.  I believe this is largely true.  That said, no, we've never been able to negotiate a set discount for a specific period.  We can't even get Apple to tell us when product lines will turn over (= price changes), so planning ahead can be a challenge. 

3. We see the difference in prices between Apple computers and roughly equivalent PC models.  However, a number of factors militate against this cost difference driving our overall purchasing decisions (including perceived lower TCO of Apple computers, flexibility of dual-...

I have the misfortune, I mean opportunity to head up a committee to revisit our Copyright Policy. Over the past few years I have read dozens of books & articles, attended numerous webinars & workshops and even completed an online certificate program with the University of Maryland on the topics of copyright and fair use. For some reason it seems that the more I learn, the less confident I feel in my knowledge in these areas.

 

One of our challenges is the need to be in compliance with Copyright law, the TEACH Act, the DMCA and the HEOA especially in regard to having a copyright policy and providing education about copyright to the college community. This policy revisit is happening at the same time as we implement a comprehensive Enterprise Risk Management process and so we are sensitive to how a change in the policy may impact...

Our college librarian wants to implement a library privacy policy which covers the use of library computers. I believe it’s directly contradictory to most institutions’ AUPs (we have an old one, but I’ve been looking at others to re-write ours).

 

Here’s the proposed text of the library privacy policy (highlights by me):

 

In accordance with common standards of privacy, the Code of Ethics of the American Library Association, and the California Government Code (Sections 6267 and 6254), we recognize that the library records of Menlo College students, faculty, staff, and other library patrons are confidential.  These records include, but are not limited to, circulation records, interlibrary loan records, and information stored by patrons on the Library's computers....

My guess is that this is a new CIO position and not just a replacement of an existing one. To determine if a person from the existing organization would even be considered for this position, you should answer these questions. Why has it been determined by the administration that this position should be created? Where does this person report and what powers will he/she have to create transformational change? Is the person a director for just IT or projected to be an institutional leader for the whole organization? Is the existing culture part of the problem that needs to change? Transformational leaders are not usually siting around in existing organizations just waiting to be promoted. If your organization really wants to transform itself then don't play it safe and pick someone who fits into that culture. Have any of you been in a similar situation? We are currently managing our departmental passwords (think service accounts, online services, etc) in keepass (an encrypted password management tool). However, it is clearly not for enterprise. There can only be one password, there is no way to control access or audit what has been viewed, etc. I’d love to have a tool that can do all of those and still store the passwords in a trustworthy way.

 

What are you using to solve this problem?

 

On a related note do you have a password strength/rotation policy for service accounts? (i.e. Accounts used by computers for computers, say the account that runs scheduled tasks on some server somewhere.)

Colleagues,

 

We were fortunate this year to able to send 12 people to Educause, including 6 first-timers, and some of our younger staff. Everyone got energized, attended great sessions, met new people, came back full of ideas. We are going to hold a debriefing on Friday to share our experiences and how we can put some of what we learned into practice. But, yes, we are also back at work…and you know how the buzz and promise can dissipate quickly.

 

Do any of you have good practices to share on how we can convert all that new knowledge and enthusiasm into our ongoing work? This is a phenomenon not exclusive to Educause; it can happen anytime someone returns from a professional development activity, a visit to another campus, or whatever.

An opportunity may be presenting itself to build out a new data center in a large, existing space in the next 1-2 years. Has anyone built/renovated a data center recently? Any advice? Especially regarding a rough-order-of-magnitude cost? We are going to have to run some fiber to the new location anyway, so I'm mainly looking at specific costs for the data center itself -- electrical, HVAC, UPS, other infrastructure. If you've built out using new "green" technology that would be a plus, too.

            Was wondering if anyone would be willing to share their e-mail retention policy.  With FOIA requests, eDiscovery, etc., seems that we need to keep email access for longer periods of time.     Do any of you use any kind of hierarchical storage models (online, near-line, long-term archival, etc.) regarding email?

Information technology allied with process reengineering and continuous improvement is the pathway to transformation. Information technology is never sufficient, but is almost always necessary, for those transformations to have both efficient and effective outcomes.

Greetings!
Looking for thoughts, recommendations, and experiences with using online IT testing instruments as a way to evaluate the competency of potential candidates.  My group his constantly seeking desktop support consultants, and we have had some difficulty finding candidates with the right technology experience and skill set.  For our purposes, I'd be looking for a tool that can assess a candidate's basic understanding of networking, Windows and Mac support, basic IT concepts, client-server, etc.  I'd guess that questions from CompTIA and Microsoft cert tests would be relevant for my need.

Does anyone out there have experience with anything like this, and/or possibly recommend services to consider?
