One thing to consider is how close a town is to your school. The single speaker systems are loud.

We put one in for campus but people can hear it much past campus, as a result the police are concerned about using it. Even testing this is hard because you have to communicate with the surrounding area it is just a test,

We now use our system primarily for weather events such as a tornado warning

Colleagues:  What unique, simple, cloud-based, collaboration tools (document sharing, etc.) are some of you using at your schools?   We will migrate to Office 365 down the road, but I'd like to find an interim (cheap/free) tool that we can leverage until then.

>>> James Maher 02/20/13 10:16 AM >>> Good Afternoon Colleagues. I've presented our ITS General Fund budget for the upcoming fiscal year. As you can imagine, and as is common in IT across many industries, costs for software and hardware maintenance do rise. I was asked to look for a company that will analyze all our IT-related contracts to see if there are any potential costs savings (combining contracts, new terms, renegotiations, etc.). Coming from healthcare, there were companies that would come in, at no charge, analyze your contract accounts (HW/SW). They would be paid a percentage of the realized savings. Has anyone ever engaged such a company? If so, would you be willing to share contact information? Again, I had a very positive experience in healthcare with some telecom related contracts (trying to understand and make sense of AT&T invoices was quite a challenge). They also looked at our hardware procurement costs and would perhaps...

Dear CIO list Colleagues, I am writing to make you aware that UCLA, OpenmHealth and the Heritage Provider Network are sponsoring a $100K challenge to allow patients and clinicians to combine existing and emerging applications and devices to create integrated, personalized health solutions that enable improved disease management and better health outcomes. We are excited about this mobile app challenge because it is ?importantly different? for the following reasons: 1. Teams must have at least one person with clinical expertise, and one target user (e.g., a patient) -  this has never been done before in an mHealth challenge. 2. Teams must use the Open mHealth architecture for at least some of their data integration. This means that all participants will be contributing to and advancing the Open mHealth ecosystem just by virtue of applying to the challenge.! There is more info on the website and the open mHealth technical team is holding regular consulting...

Over the years, the administration has seen that it is best that the support of academic technology areas are centralized with IT.   Our Executive Director of Academic Technology and Network Services and his staff work closely with the campus Vice President/Provosts to determine which technology each year needs replacing whether it is classroom and lab computers or media in classrooms or conference rooms.  Annually during the budget process, IT presents the total technology requests for the College and it is discussed.  Usually, the majority of it passes through and the equipment is replaced.  The College is very fortunate to have the funds to keep up with the renewal and replacement of technology.

In the past, we had a College-wide committee that filtered the departmental requests each year and passed the filtered request to the CFO.  The committee was given...

The University of San Diego is supporting a FREE Large Open Online Course (LOOC) in Sustainability and the Global Supply Chain commencing March 4, 2013:   http://supply-chain.org.uk/welcome/the-supply-chain-academy/

The course will be a four module, 8 week course and successful completion will be recognized with a certificate of completion. Typical workload will be 4-6 hours a week.   Mostly for logistical reasons, we are intentionally trying to keep the course to an enrollment of 500 or fewer participants.  I am writing to the EDUCAUSE list to see if there are any other institutions working on similar endeavors and interested in possibly partnering with USD on development of non-massive open online courses.

Non necessariamente. MOOCs would not be possible without the technological component that undergirds them. While for a technology association to guide its members to register the pedagogical, not to mention social and economic, drivers that help to shape MOOCs, or why distance education (ago old) is now the talk of the town, broadens discussions, to have to choose between whether it is "technology," "pedagogy" or "social or economic" as a single driving factor might still be sifting through the trees at the neglect of the forest. It is all of the above, and more. Would it be better to strive for the entire calculus (for it is not simple math either) that brings these and other factors into a dynamic relationship within higher education that CIOs and IT organizations are expected to at once lead and support? Grazie! Tracy

Hello.

I’m interested in learning from institutions where student 1-to-1 programs are program specific, rather than campus wide.  For instance, the Nursing Program or Education Program might have a requirement for a 1-to-1 technology (of any kind) for students enrolled in that program.

My questions at this time focus mainly on the requirements and process the acdaemic program follows in order to get approval to be a 1-to-1 technology for students.  Is this tied in with curriculum approval?  Do you have specific forms or process documentation for these programs?  I’d love to see samples of anything in that vein that could be shared.

We are looking at identifying a process for our programs to move in such a direction, and are wanting to learn...

We do the same thing.

This change is a major effort. As a result, these requests get forwarded to IT management and we have a discussion with the person by phone about the options and the pro's and con's of each choice.  It goes to IT management because it requires sensitivity and tact when you are having the discussion. It turns out what appears to be easy also has some effect on the person and we will need to coordinate this with them while expressing empathy for their situation and wanting to show we care.

In most cases we find that showing them how to set up an email alias and configure their mail to go out under their email alias works. I find using the alias is associated more with getting re-married. I  have talked to a few women that have had difficult situations and the last thing they want is to be tied to their husband's name (if using last name for username). In those instances where they want this changed we will...

In the corporate world, there is no expectation of privacy when using email provided by an employer.

Most corporate employee handbooks address this issue specifically with clauses that allow employers to review internal communications for any reason. This includes reading email.

Students that plan to enter the corporate world should learn that email provided by someone else does not come with an expectation of privacy.

My purely personal and "gut" response:  This policy appears carefully to avoid providing any assurance or expectation of privacy or reliable service to users while asserting users' responsibility for any use to which the institution may object.  In contrast it reserves authority of the institution for virtually any access to data in individual email accounts while absolving the institution of any responsibility ("Users utilize such Resources at their own risk").  I presume this is within legal bounds, but I would expect users to be dissatisfied and/or adopt external email services whenever possible.

For those of you that are on Live@EDU. Have you found a solid way to get Microsoft support to properly escalate an issue and see it through to resolution?

We’ve had a ticket open for a problem with the University president’s calendar for almost three weeks now. Supposedly they have escalated the ticket, but for the last three days we are still only hearing back once/day if that and each day being told that we should expect an answer by end of day.

Greetings all,

We recently received our first “Early Settlement” style DMCA notice, and were wondering if anyone treats these notices any differently from C&D letters.  Due to certain limitations we are in the process of eliminating, we were only able to narrow down to 2 the number of students who could be responsible.  With the usual C&D, if we’re unable to narrow down the incident to one user, we notify all users detected of the infringement and follow our usual procedures with each of them. However, with this notice, the complainant requires action on the part of the infringing party, and we’re unsure how to handle it.   Has anyone been in a similar situation or received any guidance from a legal expert on how to proceed?

Thanks,

Jeremy Pinquist

We are considering DocAssist as an imaging solution for Admissions Applications, and then perhaps for Financial Aid. We receive most of our applications through the Common Application.

It would be helpful to know if this general purpose tool (  http://docassist.us/solutions/by-industry/education/ ) is in use for any similar business functions at any other schools. I was a little surprised that the account representative did not know of other institutions using the product.

Thank you for any feedback or alternative recommendations.

Rob, I've stepped into a role similar to where you are. Our IT organization is good at the utility computing, but has a reputation for not really working with the faculty/staff very well. I've been focusing on a few things (based on a report we had done by an outside consultant before I got here). 1- Enhancing our educational technology (and support for it). 2- Creating a formal governance process so everyone feels the have a voice and are involved in the IT decision making process. 3- Develop a customer service focus. As Gene said, much of the utility portions can be done by anyone, but an organization with a customer service focus and a willingness to work with faculty and staff to help them be successful can't really be outsourced. 4- Documenting systems of record for all our data types and integrating systems where needed. This is a pretty big one, as we have many unconnected systems with conflicting data. 5- Focus our limited investments on things that provide a...

Counting down on the Top Ten IT Issues 2012:  http://www.educause.edu/ero/article/top-ten-it-issues-2012
Issue #7: Funding Information Technology Strategically

The IT funding issue is an ongoing conversation, not a problem that can be resolved conclusively. In addition to the general financial squeeze that educational institutions currently feel, other important factors are influencing campus IT funding. As IT resources are becoming more decentralized—putting resources where they are needed—the IT funding big picture becomes more difficult to see clearly. For similar reasons, it is very important that IT funding is not viewed as unrelated to other academic and operational decision-making about funding. Information technology serves the mission of the institution; strategic decisions about funding can be made only when the relationship between technology...

Hello,

I have been struggling since I started in HE (~4 yrs now) getting a respectable number of qualified applicants to apply for our IT positions.  These are good, challenging positions with decent pay and solid benefits, and yet, I don’t get nearly the number of qualified applicants (let alone applicants at all) that I would expect for the types of jobs I am posting.  I believe our HR department is “advertising” these IT postings via the same channels that they advertise all postings for the College, and that got me wondering what everyone else uses to get the word out that they have an opening in IT they are trying to fill.

I understand that there are some powerhouse institutions that people regularly watch for postings that they can jump on – in our immediate area that would likely be...

In late April our CFO received a formal looking letter from ASCAP (American Society of Composer, Authors and Publishers) the music association, threatening proceed with legal action because we haven't signed a campus-wide agreement for using music; "If this issue is not resolved by May 31, 2012, ASCAP will be forced to proceed with a formal investigation, which could lead to legal proceedings regarding copyright infringement." If I recall correctly we pay the licensing fees for performances, choral groups, etc. I seem to recall that this kind of threat was happening a few years ago. Their letter says "Please understand that your institution remains unlicensed and is therefore infringing upon the copyrights of ASCAP member songwriters and music publishers, and has been so infringing since July 1, 2007." What is the status of this on your campus? Dave ********** Participation and subscription information for this EDUCAUSE Constituent Group discussion list can be found...

I just had a sobering conversation with Adobe about their licensing requirements under a Virtual Device Interface (VDI). Essentially, we would have to move to their ELA licensing program which charges out by student and employee FTE. In looking at Microsoft Campus Agreement, I anticipate that VDI deployments would also require that the institution maintain a license that also covered the entire FTE structure. I'd like to hear from those who are considered or deployed VDI and what sort of licensing issues you are facing. In particular, if you are now using VDI, did you already have students covered in your license agreements? If you are in VDI, have you been able to solve the licensing issue that is not based on FTE? If you are considering VDI, do you have creative solutions about licensing so that you are not faced with an FTE multiplier? -- Shaun Cooper, Ph.D. Chief Information Officer and Associate Vice President New Mexico State University (575) 646-2026...

We are planning to move our student e-mail service to Gmail (Google Apps for Higher Education). I am being asked by my project board to look in to the option of enforcing e-mail retention policy (i.e. 360 days). Has anyone done that with student e-mails using Gmail? Google does provide a service in conjunction with Postini that costs about $25 a year per user – very cost prohibitive for student e-mail solution.

Please let me know if you have been able to address the retention issue in some fashion without breaking the bank.

Dear Friends and Colleagues: We are a Datatel shop ( born 1984). Our security access needs a 100% overhaul and we are not yet in a position to begin it. The question I have is about fields that are purposefully hidden from Datatel users (not faculty or students but administrators entering data into the system.) 1. I assume SSN should be hidden or masked from nearly all users. 2. Similarly, things like salaries are secured and limited. 3. What about date of birth and home addresses? We have an administrative user who insists DOB should be hidden. Any thoughts about this? My concern is that we are beginning a major "re-migration" to a clean (non-customized) version of Colleague. All of my staff are working on projects with this long term goal in mind. I am trying to minimize the temporary (but intensive) programming efforts requested to support the current (old) code. Is hiding and securing DOB critical? Are there legal concerns like with SSNs? Along these same lines, does...

Good morning, Colleagues!

At Wiley College, we have come to a crossroads. We are trying to decide what the best practice is for providing our resident students  with telecommunications services. While we have been looking at installing an ATA adapter solution (utilizing an analog adapter and controlling the port), we recognize that the solution will enable our students to have access to phones in their rooms, utilizing standard “Family dollar” analog phones.  The main advantage being that we would have the ability to control communications, placing us in a position to  utilize the system as a revenue generating stream.

My question…Is there a value to having this service available for our students?
