Butler University is in the process of purchasing policy management software for the campus (not just IT). 

 

Anyone using PowerDMS or PolicyTech and could share something about their experience?   Or decided against these in favor of something else?

 

The following is critical to us:

·         The ability to draft policies and procedures and route for changes and approval

·         The ability to track our policies and procedures are compliant with standards such CALEA, HIPAA, etc.

·         The ability to develop training materials

In the past we have offered a few key employees backup services for their office computers.  We use Atempo and load the agent on their computers to do the backups.  I am now looking at going with a service such as MozyPro or Carbonite to backup all employee computers.  What I would like to do is offer the service and pay for it from IT.  However, if some needs more than X-gigs backup'd, then I would expect the department to pay IT for the additional storage space in order to have them justify the need for extra storage. 

So, if you are doing something similar, I would like to hear from you on a few items:

1.  What service are you using to provide backups for employee office computers?

2.  Do you charge the departments for the service?

3.  How much do you charge for the service?

4.  Do you exclude certain file types from the backups?  If so, which ones?

Macalester is strongly invested in Apple equipment, though we're much smaller than TCU. 

1. Yes, we're seeing the same thing you are. 

2. We've been told that Apple's educational discounts are built into the prices we see on the institutional purchasing pages.  These discounts are much lower now than they once were, as Apple says they've lowered their prices across the board.  I believe this is largely true.  That said, no, we've never been able to negotiate a set discount for a specific period.  We can't even get Apple to tell us when product lines will turn over (= price changes), so planning ahead can be a challenge. 

3. We see the difference in prices between Apple computers and roughly equivalent PC models.  However, a number of factors militate against this cost difference driving our overall purchasing decisions (including perceived lower TCO of Apple computers, flexibility of dual-...

I have the misfortune, I mean opportunity to head up a committee to revisit our Copyright Policy. Over the past few years I have read dozens of books & articles, attended numerous webinars & workshops and even completed an online certificate program with the University of Maryland on the topics of copyright and fair use. For some reason it seems that the more I learn, the less confident I feel in my knowledge in these areas.

 

One of our challenges is the need to be in compliance with Copyright law, the TEACH Act, the DMCA and the HEOA especially in regard to having a copyright policy and providing education about copyright to the college community. This policy revisit is happening at the same time as we implement a comprehensive Enterprise Risk Management process and so we are sensitive to how a change in the policy may impact...

  I am writing to gain insight on the issues involved with allowing access to the institutional Student Information System by non-employees.  This access would be on an ongoing basis, with read/write ability, by individuals who work for a foreign language institution in a foreign country.  The foreign institution is partnering with our institution to supply undergraduate educational services on their campus.

 

  When I was approached with this request earlier today, I got the queasy feeling in my stomach defining major concern.  Our SIS has security that is configured for function, and not location, so we are looking into possible customization.  However, aside from technology, I think there are a number of other issues that need to be addressed, such as FERPA (does this even apply?), InfoSec, international data...

In the last week we had our first example of a phishing attempt using a novel technique to successfully spoof a university 'from' address, and a genuine spearfishing attempt that employed our logo and used very accurate information about the ITS Help Desk, phone number, support portal, etc.

How do you handle immunizations for students?  Do you have a system to track immunizations?  

I found several with a google search:  American Databank, Verified Credentials, Certified Background, Mediease, Medicat, Medatrax, Nuesoft, Do you have any experience with any of them?

Do you put a hold on registration if immunizations are not met?

I’m especially interested in hearing from health science schools, like us, who need up to date immunizations in order to send students out on clinicals, such as nursing programs, etc.

I think you and Kyle are making a very important point that retention policy has to address removal at the appropriate time as well as retention. My feeling is that every institution is going to have to come to grips with this in terms of what makes sense for that particular institution. My previous institution was a State University and we had to comply with the State retention policy for Massachusetts State Agencies. That ignored students but had very strict rules for employees with different retention policies based on the content of the messages. The rule of thumb was 5 years for messages involving decision-making (with lots of exceptions and caveats), but for messages to or from senior staff (VP and higher) the retention period was “permanent”.

I have been thinking about this lately. What do you think? Victory depends on conditions that are always in flux. The leader must recognize a momentary advantage, capturing it as it arises. Such victories cannot be set aside for future use, nor can they be taught. These opportunities happen daily. How one takes advantage of them to move an organization forward is what makes a good leader better. One is never completely ready or informed when these decisions are made. It is more of an art than a practice. Has anyone found a good solution to authenticating across multiple cloud-based sites?  We have been looking at a provider named PingIdentity to try to tie our sites together, but it’s expensive and it’s hard to get all the players to agree to using the Ping model.

 

It seems that our new business model is going to lead us to have more and more cloud-based solutions which need to interoperate well together in order to give our students a seamless experience (LMS, electronic library, ePortfolio, discussion forums, etc.).  Most allow themselves to be branded fairly easily so that users will not notice that they’re going from one site to another, but very few are sophisticated in their use of web-based authentication standards like SAML.  As a result, even though the sites look similar, each needs to ask the user to authenticate (potentially with a different...

About two years ago we converted all student email to Google Apps for Education. We are now trying to determine the conversion of faculty and staff (we currently have the accounts set up, are deliver mail (and will start delivering calendar information as well from our Exchange server) as a fail-over for Exchange (which did crash last May causing all sorts of headaches.

 

One issue that needs to be resolved is our unbelievably heavy reliance on restricted distribution lists for communicating to various constituent groups. We rely very much on email as a communication device and have established lists by role as well as building and multiple sub lists in between. Use of these lists is by permission only. We have not found an easy way to replicate these lists and restrict use within the Google Apps environment.

The CIO list community was recently discussing “Web content filtering” in response to a query from Richard Nelson. My impression was that most places do not filter web content.

 

My director of network services came to me yesterday with the three way balancing act described in the subject. I assume those who don’t filter content have ways to limit or prevent the malware/virus that are associated with certain kinds of sites. I would be interested in hearing how. Is this the old axiom “you can pick two of the three” …

 

I can see several options:

1.    A laissez faire approach where sites are not scanned and malware is managed at the desktop by a user support team.

I was wondering how many Institutions have the same committee for Staff?  Normally, all requests go to HR and they handle them effectively.  However, we would like to have a committee for non-HR related items.

We recently contracted to obtain an ID card system that is a one-card system including pay-down balances.  The system is installed in our data center on campus.  The vendor provided the system and did the install. 

When we go live with a new system, we generally verify that we have a backup that we can restore, based on the vendor identifying the files and services that require a backup.  We like to test, particularly given that the system stores financial data.  We also ask for the vendor to tell us what services require shutdown if there's an emergency shutdown and what services to start - in other words, shut down and start up procedures. 

According to this vendor, they have never had any clients request to execute a test of the backup/recovery or verification of backup/restore prior to go-live.

Has anyone ever encountered this with a vendor?...

I am seeking feedback from 2-year institutions that are requiring “degree seeking students” that attend their institution to purchase a laptop in order to attend and participate in programs of study.  Our institution is considering this endeavor and are looking for pros and cons by those that have done so (or may have considered doing so but, for whatever reason, decided it was not in their best interest).

 

Many 4 year institutions have requirements, depending on the program, similar to this but I cannot locate any 2 year institutions that currently require most of their students to purchase a laptop upon acceptance.  Any contacts or leads regarding this are appreciated.

Non necessariamente. MOOCs would not be possible without the technological component that undergirds them. While for a technology association to guide its members to register the pedagogical, not to mention social and economic, drivers that help to shape MOOCs, or why distance education (ago old) is now the talk of the town, broadens discussions, to have to choose between whether it is "technology," "pedagogy" or "social or economic" as a single driving factor might still be sifting through the trees at the neglect of the forest. It is all of the above, and more. Would it be better to strive for the entire calculus (for it is not simple math either) that brings these and other factors into a dynamic relationship within higher education that CIOs and IT organizations are expected to at once lead and support? We are considering DocAssist as an imaging solution for Admissions Applications, and then perhaps for Financial Aid. We receive most of our applications through the Common Application.

It would be helpful to know if this general purpose tool (  http://docassist.us/solutions/by-industry/education/ ) is in use for any similar business functions at any other schools. I was a little surprised that the account representative did not know of other institutions using the product.

We are just wrapping a draft of our DR plan.  Today the committee had a debate about system password for servers and whether or not to include them in the plan (either hard copy or electronic).  There are obvious issues of security to consider but if all our people were unavailable, it would certainly be advantageous to have passwords available for an outside DR team to come if necessary.

 

Has anyone addressed this issue?  I’d be curious to hear how others handle passwords in their DR plans.

Recently, there has been a renewed interest on campus to obtain and store the email address of parents.  Some of this information is gathered during the admissions process, however, many of our applications come through the "common app" and parent email is not a required field.

Are any institutions collecting parent email and how?  

What purposes is parent email being used for?
- emergency contact?
- notice about student records / financial?
- general campus activities?

For institutions using parent email for "non-business" related contact, do you offer opt-out/opt-in?
