I remember receiving an email from Google stating that 2 of my student accounts were compromised. I couldn’t find the email. It was at least a couple of months ago. They took the action of Suspending the 2 offending accounts. By the time I looked at the accounts probable a day or so later, they were active again. The email contained a link to one of their Help articles giving a list of suggestions on dealing with the accounts, like change the password, remove forwarding etc.

Sorry I can’t be more specific. If I run across the email I’ll send along excerpt from it.

We’re currently considering whether to outsource our email service to either Google or Microsoft. I was hoping that those of your who are using Google Apps could help with the following questions.

 

SSO and Google Apps

If you’re using Shibboleth to authenticate access to Google Apps how do you deal with those who are not using the web interface to Google Apps, i.e. Outlook, IMAP, smart phone and tablet users? Is anyone using ECP? Is it reliable?

Is anyone using a commercial SAML IdP rather than Shibboleth? There seem to be a number of these listed on Google’s pages. Some of them e.g. ‘SSO Easy’ and Viwo claims to be able to work with non-browser access. Has anyone any experience of either of them?

All,

At Green Mountain College, we are about to recommend a move from onsite Exchange to Google Apps for Edu and are beginning work on our roll out plan.  As part of that plan, we would like to make it so that all of our systems (Moodle, Jenzabar EX, JICS, Active Directory) have the same usernames and passwords.  All of those systems currently have their own username and passwords.

What are other colleges/universities doing to handle this?  Integrating into our onsite AD has been discouraged because our power and telecom services are less that reliable enough to achieve > 96% uptime (let alone 99%).

Hello everyone

 

Recently we have been experiencing several types of email from Twitter & Facebook being blocked. We have made no changes to our Google Apps domain. We have been receiving conflicting information from Google Support on how to resolve this. We have been told to talk with companies on establishing SPF records or change relay servers. We are still working with them on a solution.

 

If others are having a similar issue, we would love to hear how you resolved this issue.

For us we had to offer an opt-in period, not an all or nothing.  So again we wrote a web based tool so user's could login with their LDAP and click a button to "Switch" from our old unix system to Google.

The switch behind the scenes set their Google password and put a forward in their account on the old server(ssh in and set .forward file) to point to an alias domain that routed to their Google account.  It did increase the "hop" count of email delivery slightly but still well within the typical 25 limit.

When they logged into the web tool with their LDAP, we took the opportunity to capture their current LDAP password as plain text, from the password input box on the page, and stored it temporarily in their web session on the server.  The session expired over time or upon logout as you would expect, so we never had more than a few at a...

Hi Matthew

At Hamilton, we have been very conservative about enabling any of the additional services, for a handful of reasons.

These include:

- difficulty in ever migrating to another system
- limited support from Google for the non-core services
- challenges related to dealing with account deletion when students/employees leave the college (not all services allow you to migrate data to different Google accounts)
- others (privacy concerns, commercial aspect of some, etc.)

As requests from users come in, we have evaluated the services and made a decision to enable or leave disabled - to date, we have only enabled Google Reader.

Hi Everyone

We are in the process of developing a campus password policy that would apply to accounts in our Google Apps domain.

As Google doesn't allow the the enforcement of a policy beyond specifying the minimum & maximum number of characters, I'm wondering what other institutions have done to enforce a policy that includes complexity and change frequency requirements?

Hello all, hope this e-mail finds you well.  We have a few users that simply could not get used to conversations in our Google Apps environment, so they had them turned off, which seems to be working for their needs.  However, they also have Android devices using the GMail application for their e-mail that does not allow to turn conversation off.

Do you know if there is a way of turning conversation off for these devices and this client, if not, have you had any luck and recommend a different client for Android devices that would be able to show e-mails as if conversation was turned off?

Since we switched from Exchange to Gmail, we have struggled with the 'mail merge to email' capabilities of Gmail, particularly the cumbersome interface and the limits on the number of daily recipients of messages.

How are users managing to send customized 'mail merge to email' type mailings for Admissions, fundraising and other purposes in a Gmail environment?

We didn't consider Exchange a fall-back option once we began moving people over but we did keep it plugged in for a few months after we finished in case we needed to re-copy data from any of the accounts or shared calendars. Basically, we moved each group on a Friday at the end of a workday and immediately disabled send & receive for their Exchange accounts. Once their copy processes completed we'd notify them and give them a week to verify that their email and calendar data came over properly (we checked for copy failures too but wanted to have another method of checking). A week later we'd delete the mailbox but since we had set up the server with the maximum allowable deleted items retention timeframe we had an extra cushion built in there, too.

I need to determine the best method for my university to automate the course schedule information for each student into their Google Calendar in real time.

I have watched the youtube video "Google Apps Extra Credit:  Google Apps + SunGard" -> http://www.youtube.com/watch?v=XwPSI2P8ps8 and understand that the Luminis Platform 5 environment has this automation built in.  However we are only at Luminis Platform 4 and have no timeline for upgrading until at least the middle of next year, so I need to find a way to do this in the interim.  It appears from the youtube video that Truman State had version 4, and what they did was use the csexport utility on Luminis and run this twice a day.  Then the .ics files are mailed to students and the students import these into Google Calendar by themselves.  If this is correct, it is...

Our university is interested in implementing Google Apps for Education to provide email service to students.  Ideally, we would like accounts to be created automatically based on data triggered from Datatel or LDAP.

We’ve moved our students over to Google Apps and should have the faculty/staff moved over by summer.  Currently, we have none of the consumer apps(Google+, Youtube, Blogger, etc) turned on.   We’re interested to find out what other schools are doing.

 

One of the issues we face is that we have a state law that limits the indemnification language that we can accept.  The services agreement we negotiated for the core services was modified so accommodate our state law, however, the consumer apps terms of service are not negotiable so we are trying to figure out what our options are and what others in similar situations are doing.

 

In general, though, are you guys turning on the consumer apps for your users?  If not, what is the...

My organization currently uses Google Groups exclusively for sending bulk email to various constituent groups on campus. We have a limited-access OU where the Group app is available to a select few. Only those in the Group OU can send university-level bulk email. We have an identity management tool that creates and updates the constituent populations with data from our ERP so they are always up-to-date. This has worked well for us to use Group exclusively for this purpose. People are not allowed to unsubscribe from these groups as we wish to ensure that we can always reach everyone in these groups when we send email to them.

Now it has been requested to deploy the Groups app to the entire campus. The repercussion is that the members of the blast email managed groups would be able to unsubscribe themselves since a member of a group (that has access to the Group interface...

Hi all,

We are currently exploring different products for email list management, Lyris, Email Direct, Google Groups, and were hoping to narrow it down to one or two services.  I was wondering if anyone uses Groups as their primary list management system.  If so, how do you deal with the email limits outlined at  http://support.google.com/a/bin/answer.py?hl=en&answer=166852 ?

We like to encourage our clients to use Groups for the self service aspect, but once they get over a certain number of participants per group they will start hitting their daily limits.  For example, if a group has 1,000 participants, which is easily possible with a university our size, and I send 2 emails to that group in one day then I've hit my limit.

Is anyone else running into this issue?...

Hi All

     We just finished migrating all of our current users to Google. During the transition, we continued to route all emails. In other words, the MX records pointed to us and all emails would arrive first to our servers and directed to Google if the user has been migrated. Now we want to get out of this and point the MX records to Google. As you can imagine, we still have some leftover things that have not yet been moved and the fear is that email addressed to them will bounce. I am wondering if there is a way to configure Google in such a way to say anything addressed to @wellesley.edu for which there is no local account, simply pass them on to a server at Wellesley. I don't think will create any loops is the server receiving it rewrites the address to @local.wellesley.edu or something to that effect.

At Hartwick College we are planning to move our alumni e-mail accounts to Google Apps.

Those of you who have migrated alumni e-mail to Google, would you please tell us:

1    1.  Did you assign a different subdomain for alumni?  (e.g., alumni.collegename.edu)

Why or why not?

2.  If you use a subdomain for alumni, how have the alumni reacted to Google’s ads?

3.  Are alumni keeping the same usernames that they had as students?

4.  What format do you use for usernames: 

firstname.lastname, lastname.firstname, lastnamefirstinitial, or other?

5.  Do you have any advice or lessons to share regarding moving alumni e-mail to Google?

The University of Minnesota is working on rolling out Google Groups and considering options concerning external group members. The documentation seems to indicate that we can only mail to 500 external members when sending mail to a group. My questions to the group are: 1) does this mean that the limit on the number of external group members is 500? (are there use cases that still work for extra folks?) 2) what happens when mail is sent to such a group (i.e. is there any pattern to who does not get the mail). Recently we rolled out Google email to our students.  Our students are now asking for Google Groups and YouTube.

We were told as Google Groups and YouTube are consumer services, our students would be the end-users.  We were told "For the core services, the agreement is between Google and the institution (so TCNJ). For consumer services, the agreement is between Google and the end-user."  We were also told "You do not need to have your legal counsel review the terms for the consumer services since that is between the students and Google."

 

 

Can those who allowed student access to Google Groups and YouTube tell us how this was implemented.  Did you get your legal counsel involved?  Did you consider the end-users to be the students?  Did you consider the agreement is between Google and the...

Hi all, We use opaque user names here (ex: w00005414) and we give everyone an email alias of lastname_firstname. It is not an issue with our current email and calendaring systems but we are being asked to research Google Apps and the not-so-obvious username is creating issues.... especially with calendar invites (we figured out the email side). People do not know what to do when they receive a calendar invite from "w00005414@wheatoncollege.edu" We talked to Google about this and they said there is no way to change the calendar owner setting within your calendar.
