At Hartwick College we are planning to move our alumni e-mail accounts to Google Apps.

Those of you who have migrated alumni e-mail to Google, would you please tell us:

1    1.  Did you assign a different subdomain for alumni?  (e.g., alumni.collegename.edu)

Why or why not?

2.  If you use a subdomain for alumni, how have the alumni reacted to Google’s ads?

3.  Are alumni keeping the same usernames that they had as students?

4.  What format do you use for usernames: 

firstname.lastname, lastname.firstname, lastnamefirstinitial, or other?

Why?

5.  Do you have any advice or lessons to share regarding moving alumni e-mail to Google?

Yes.


Why or why not?

Easier maintenance, Alumni office is admin of domain, ads on for domain, reduce daily GADS sync time, etc..


2.  If you use a subdomain for alumni, how have the alumni reacted to Google’s ads?

No issues we are aware of.


3.  Are alumni keeping the same usernames that they had as students?

By and large, yes.


4.  What format do you use for usernames: 

firstname.lastname, lastname.firstname, lastnamefirstinitial, or other?

Why?

We use their current Charger ID(LDAP) but they can contact Alumni office and have it changed.  An automatic process provisions new alumni accounts each semester based on banner data.


5.  Do you have any advice or lessons to share regarding moving alumni e-mail to Google?

Provide a migration tool for their data.

It made a lot of sense for us because we have a large domain with over 300,000 "live" accounts and close to another 500,000 alumni records. It reduced a lot of load on our AD controllers when we moved to a sub-domain and removed them from AD. The only advice, communication, communication, communication. Hope this helps. Hey Ric, here are Stony Brook University's answers:

1    Yes, to differentiate the populations

2.  N/A Will be rolled out January '13

3.  Yes

4.  firstname.lastname, easier to identify users

5.  I'll answer this with another question:  Will you be migrating all alumni, or only those who request it via a portal?  If all, then an easy one time upload from your registrar's roaster will do.  Otherwise, you will need to choose how to upload accounts upon request.
