Since we switched from Exchange to Gmail, we have struggled with the 'mail merge to email' capabilities of Gmail, particularly the cumbersome interface and the limits on the number of daily recipients of messages.

How are users managing to send customized 'mail merge to email' type mailings for Admissions, fundraising and other purposes in a Gmail environment?

We didn't consider Exchange a fall-back option once we began moving people over but we did keep it plugged in for a few months after we finished in case we needed to re-copy data from any of the accounts or shared calendars. Basically, we moved each group on a Friday at the end of a workday and immediately disabled send & receive for their Exchange accounts. Once their copy processes completed we'd notify them and give them a week to verify that their email and calendar data came over properly (we checked for copy failures too but wanted to have another method of checking). A week later we'd delete the mailbox but since we had set up the server with the maximum allowable deleted items retention timeframe we had an extra cushion built in there, too.

Hi All; I've got a domain alias question that I hope someone can help me with! I added a domain alias to our domain yesterday. Today when I look at random users, some have the expected behavior of a new nickname of user@domain-alias.colorado.edu Some do not have this. From previous testing in a test domain, I understand that these nicknames don't show up instantly but shouldn't they be there for all users within a day? We're still in a pilot phase so we only have a few hundred users within the domain. We need to migrate our personal web pages from a legacy system and are planning on using Google Sites. I am interested in the feedback from faculty for institutions that have already made a similar change.

 

1.       Were there complaints? If so, what were the most common ones? How did you address them?

2.       If there were initial complaints about the platform did these subside once the change was made?

3.       What type of url are you using for faculty web sites? Are you able to mask the Google url?

In our old e-mail system, our faculty e-mail group is distinct from the staff e-mail group.  However, any faculty member can send to the staff group, and any staff member can send to the faculty group. Students cannot send to either group.  
We want to accomplish the same thing in Gmail. Have you found a way to let all the members of one group (but not the whole organization) send to all the members of another group, without consolidating the two groups?

At Hartwick College we are planning to move our alumni e-mail accounts to Google Apps.

Those of you who have migrated alumni e-mail to Google, would you please tell us:

1    1.  Did you assign a different subdomain for alumni?  (e.g., alumni.collegename.edu)

Why or why not?

2.  If you use a subdomain for alumni, how have the alumni reacted to Google’s ads?

3.  Are alumni keeping the same usernames that they had as students?

4.  What format do you use for usernames: 

firstname.lastname, lastname.firstname, lastnamefirstinitial, or other?

Why?

5.  Do you have any advice or lessons to share regarding moving alumni e-mail to Google?

The George Washington University (GW) is getting ready to launch Google Groups as part of the Google Apps environment, and we are wondering what universities might recommend as "best practices" for using Google Groups. Graham Barker, a member of DIT here put out a question to the list back in January about provisioning groups and group names, and he got some good feedback. What I am most interested in is what do universities feel is going right with Google groups, either in practice or in governance, and what would you change if you could go back and start all over again?

Hi – new to the list as of a few weeks ago. Recently named the product manager for Google, I have the following question for the listserv:

 

At the University of Notre Dame, we’ve had Google Sites enabled for a few years, but have recently allowed faculty/staff access. This has resulted in more things being done in Google Sites. Last week, a couple professors started to have issues adding a file to their web sites. Working with Google, the issue turned out that we had hit our Notre Dame limit/quota for Google Sites. Note: this limit is per our ND domain, not per individual.

 

What seems to add to this limit for ND is 2 things: (1) adding a file to a web site; (2) the File Cabinet. It’s not creating the web sites/Google sites that increases the limits. We...

Hi everyone,

 

We continue to experience a problem where the incorrect phone number is listed for Northwestern University when performing a Google search.  We believe this is happening because Google is incorrectly associating a Google Place listing for a department or program at our University with the main university listing.  We have created a main Northwestern University listing within Google Places but have not been able to associate it with a top level Google search result.  In our highly decentralized environment, we have no way to control whether an affiliated school or department creates a Google Place listings and we continue to experience this problem.  Our community gets very irritated when their desk phone is suddenly identified/perceived as “THE” University main number.

Hi All

     We have moved to the new Google Group interface and you can no longer simply direct add users from outside the domain. You need to provide some text (which is not optional) that is sent to the external email account. So far, so good. Except all of these invites have a section that Google appends which cannot be taken out or even edited. It is silly because certain things said there like accessing Google Groups web interface through the web does not apply to the external users. We only want them to interact with the groups using emails. Do you know any ways to suppress this footer or customize it?

I need to determine the best method for my university to automate the course schedule information for each student into their Google Calendar in real time.

I have watched the youtube video "Google Apps Extra Credit:  Google Apps + SunGard" -> http://www.youtube.com/watch?v=XwPSI2P8ps8 and understand that the Luminis Platform 5 environment has this automation built in.  However we are only at Luminis Platform 4 and have no timeline for upgrading until at least the middle of next year, so I need to find a way to do this in the interim.  It appears from the youtube video that Truman State had version 4, and what they did was use the csexport utility on Luminis and run this twice a day.  Then the .ics files are mailed to students and the students import these into Google Calendar by themselves.  If this is correct, it is...

Hello all, in our recent conversation to Google Apps for Education, we noticed that the calendar of one of our largest calendar users did not fully migrate using the Lotus Notes migration tool GAMLN.  We have used this tool extensively without any problems.

After opening a case with Google, they informed us that they have a non-published calendar quota and that this user had reached it.  They said that they removed this limit for this specific user, and that this limit exists to ensure the stability of the system.  They also informed us that they can remove this limit for specific users as we encounter it.

Has anyone experienced this during their migration?

Good afternoon,

My organization currently uses Google Groups exclusively for sending bulk email to various constituent groups on campus. We have a limited-access OU where the Group app is available to a select few. Only those in the Group OU can send university-level bulk email. We have an identity management tool that creates and updates the constituent populations with data from our ERP so they are always up-to-date. This has worked well for us to use Group exclusively for this purpose. People are not allowed to unsubscribe from these groups as we wish to ensure that we can always reach everyone in these groups when we send email to them.

Now it has been requested to deploy the Groups app to the entire campus. The repercussion is that the members of the blast email managed groups would be able to unsubscribe themselves since a member of a group (that has access to the Group interface...

We're in the early stages of a Zimbra-to-Google Apps migration.  Despite our issues with Zimbra, we do admit that it does have a very nice webclient.  Webclient use here is fairly high so it does become somewhat of a sticking point.  Not that there's much anyone can do about Gmail's webclient but I was curious if anyone else came from a similar situation (rich webclient to Gmail's webclient) that, for us at least, is the only portion that's a bit of a backstep and wound up having to run their own webclient to Gmail?

Hello group, here are Stony Brook University we are just about to go live with Google Apps for Education.  Our e-mail format will be firstname.lastname@stonybrook.edu.

We are hearing a lot of people asking if we will allow aliases.  So far we have made exceptions in the the first name (e.g. Chris.smith@, Chuck.smith@, Joe.smith@) but we are now being asked if exceptions can be made for:

replacing the first name with the middle name (e.g. middlename.lastname@)
and
replacing first.last with an alies (e.g chuck@, chris@, joe@)

I was wondering how other universities following a similar naming convention have handled this, pros/cons?

Hi All, Columbia is looking at the Google Apps Directory Sync (GADS) tool as a means of provisioning users and contact info to a GAE domain. Our OpenLDAP directory contains an RFC4517 style Postal Address value which uses the "dollar sign as line separator" syntax. This does not map nicely to the structured Work Address Attributes that GADS can import. Has anyone encountered this issue or devised a workaround? We are a small boarding school (400 students) and I have been tasked with pushing forward with Google Apps.  Like many, I have run into an issue with synchronization, password, etc. and using our existing AD infrastructure.

 

From what I gather synchronizing AD requires the use of a dll/hashing which can insert a hashed copy of the password in an ldap field.  However this will not occur until the next time a user changes his/her password.

 

How are others handling this?  Use the dll/hash? Requiring the users maintain two password, one internal one for Google apps? Etc.

 

Any thoughts, suggestions, insights would be much appreciated.

We are beginning our migration to Google Apps and we will be migrating our staff from Meeting Maker to Google Calendars.  There is nice feature in Meeting Maker that allows you to define holidays.  Those holidays can be set to mark everyone's calendar as unavailable (busy).

I am wondering what the best way to emulate this feature in Google Calendars.  How have other schools dealt with holidays?

The University of Michigan is going to transition to Google Apps next year, and we’re currently trying to estimate the staffing level we’ll need at our help desk during the transition.  Could you share anything from your transition that might help us with our estimates?  I’m especially interested in any of the following:
 
  1. How many contacts (by phone, email, or web) did your help desk get during the transition?
 
  1. How many users migrated in each wave (or all at once, if you did it that way)?
 
  1. What were the most commonly asked questions?

Over the last two days, users on our campus are seeing issues when utilizing the icons for gmail we placed on their desktops using the stand alone app installer (acquired by going to: http://dl.google.com/tag/s/ap=yourdomain.com/googlewebapps/en/googleappsstandalonesetuptagged.exe)
The most common error they are reporting is: Page(s) Unresponsive 
The solution so far has been to tell them to not utilize the desktop launchers and instead just use a regular browser. Is anyone else utilizing the same launchers, and are they experiencing issues?

Hello all, hope this e-mail finds you well.  We have a few users that simply could not get used to conversations in our Google Apps environment, so they had them turned off, which seems to be working for their needs.  However, they also have Android devices using the GMail application for their e-mail that does not allow to turn conversation off.

Do you know if there is a way of turning conversation off for these devices and this client, if not, have you had any luck and recommend a different client for Android devices that would be able to show e-mails as if conversation was turned off?
