Has anyone established a set of guidelines and/or a style guide to keep users of your content management systems on the same page?

 

Here at Stony Brook University in New York, our IT department will be adopting a new CMS and we realize that training our content contributors will be an important step in the overall success of the project.

 

If you have something you’d be willing to share or if you can point me in the right direction of some online resources, I would appreciate it.

We’ve licensed Hannon Hill Cascade server for our university’s Web Content Management System (WCMS). The service page at https://wcms.iu.edu/home.php, might be a useful resource for you. If you’d like to discuss more, let me know. I was on the periphery of the RFP and selection, and have gone through some of the training. We use a different system to manage our content for our knowledge base, so I’m not a day-to-day user. However, I have been in the know on the marketing, adoption, promotion efforts and challenges. Making it simple and having usable templates is key to adoption.

At University at Buffalo we've been completing an arduous CMS rollout over the past five years.   One of our strategic goals in creating this system was to pull together the stylistic elements of official university web pages and unify our visual identity, thus protecting our brand.  The critical concept to selling this approach to adopters is that "each web page is a collaborative effort, created by a host of contributors", and "each web page must establish it's identity as the university, since it can be found through copious search methods". 

We implemented these goals by locking down the designed elements of each page, assigning the appropriate content areas to those areas who are the most logical content owners. For example, the top most banner of an official web page is owned and designed by University Communications, and is identical for all official pages.  This principle was implemented iteratively for Schools and departments, to establish visual identity for those hierarchically organized units, but always staying within design concepts and alternate palates that are complimentary of the university's design.

We designed dozens of page templates and components within the system that could be used to solve a variety of content organization and presentation problems, and commissioned some special purpose components to handle the presentation needs of specialized areas. For example, we put together some "utility" components that can be used in various ways to present text/images, but still maintain visual identity with all other official pages.

Content providers use these components and templates as building blocks to create their pages with their content within the system.  Each page created stays within our stylistic guidelines, uses best practices for navigation (as implemented in the system's default navigation tools for each page), and yet is customizable to meet the communication strategies of the page.  The system supports collaborative content as well. This allows one authoritative source of information on campus to syndicate their "official" information for inclusion on other web pages/sites.

Early this summer, our UBIT web site will be rolled out using this same system, which will account for over a thousand pages alone.

We also developed some excellent training materials, created here at UB, that guides our content providers on the use of the system, named UBCMS.  They are short CBT's designed to introduce the concepts that transform our web resources.   These training sessions are open to anyone at   


Lastly, we developed UB entries into the AP style guide for content providers, so that we can achieve uniformity in the usage of terms, capitalization, etc.
