Dear IT Communicators:

I am wondering (on average) how many full-time employees comprise an IT Communications team at most colleges/universities.

I'm trying to build a case to hire another full-time employee. Right now it's just me and a student.

How many people do you have on staff to handle communications/marketing?

At the University of Arizona, my team is comprised of one FTE Manager, one .75 Marketing Specialist, and three student workers this semester who are allowed to work up to 20 hours per week. The student worker number varies from two to four per semester dependent upon the hours they are able to work. Even with this number we are constantly required to prioritize and reprioritize our work in order provide the level and number of services asked for.

 

The UA has just over 39,000 students and almost 15,000 employees.

Utah State University

I lead the marketing and communication efforts here, but it is not my full time responsibility anymore.
Three other individuals from service desk, security, and computer labs are helping me out with this effort.
We have one student <20 hours a week helping 

I do have access to our IT programming and design team.  In addition to web application programmers there are two full time and 2 student graphic artists I can use as needed.  

Our latest task is a new website to launch in the Fall.

.60 - My time (I also handle emergency notification tech for VCU and have two other areas report to me)
1- communications designer (print and digital media designer)

I manage the Operators for the University but they are five 15-19 hour students with little time between calls to help.  I also have access to a student who does graphic design but he doesn't work for me.

I’ve mostly been lurking, but have been finding the conversation very interesting.

 

Since you’re asking for an EDU-wide average staffing level, you should probably hear from the schools that actually don’t have a dedicated IT Communications group…  Colorado State (25,000 students) has a central Communications group working for the President’s office, but no staff dedicated to IT Communications. Instead, communicating IT issues falls to the various central IT operational entities. I doubt we’re alone in this respect…

As I look through our answers we might need to add a few more questions:
  • what are you responsible for (I only handle communications for IT to UTEP users and my 100+ web pages are only IT pages)
  • What types of communications do you use (We do just about everything else, but I have not yet begun to use Social Media for IT- that might require another student to keep it active)
  • What resources do you have that are not part of your team (graphic design, html, etc - some of us mentioned it, others may not have)
  • And some of you mentioned # of students, though I don't know why more students make the IT communications require more staff (if you do ALL communications I can see it)

Good morning/afternoon,

 

At the University of Manitoba, this is our staff/student breakdown.

 

Total undergrad/grad student population is 27,751.

 

Total number faculty and support staff 8,400

 

IST department is approximately 150 people.

 

Similar to Steve (Colorado), IST does not have a dedicated communications group.  There is a central group, Marketing and Communications that works with faculties, units, departments to meet their communications and marketing needs.  My role is to oversee client relationship for IST and the campus community, and I have our IST web content coordinator reporting to me.  In the fall of last year, we had a new CIO join the U of M, and he has since added communications to my role.  Fortunately the MCO office is easy to work with and has offered to help in any way they can…they are also aware that IST has not had a good reputation over the past few years in communicating to our users.  Hopefully a year from now, that reputation will have changed!

Hi all -

At Miami University – Oxford Campus:
Total student population: 17,000
Total faculty and staff: 4300
IT Services staff: 150

3 FTE for communications:
  • Senior Director Strategic Communications & Planning (me) – responsible for divisional communications, strategic planning, manages the IT project office, supports the VP/CIO
  • Senior Communication & Web Coordinator – manages the web site, coordinates day-to-day communications (small outages, serves on change control board, Facebook, etc), serves as communication lead on projects as assigned, manages online training registration, coordinates communications for summer orientation/first-year move in
  • Knowledge Base Coordinator – manages the online knowledge base including coordinating content between web site/kb/support desk etc, supports communications via social media, serves as communications/training support on project teams

We maintain a wiki with our month-by-month communication plan and meet in-person every 2 weeks. Everyone is busy!

As a follow up…I’d also be interested to know for those institutions that have communications staff within their IT unit, is there also a central communications/marketing group which handles comms for the institution as a whole?

Total student population: 17,000

Total faculty and staff: 4300

IT Services staff: 150

 

3 FTE for communications:

  • Senior Director Strategic Communications & Planning (me) – responsible for divisional communications, strategic planning, manages the IT project office, supports the VP/CIO
  • Senior Communication & Web Coordinator – manages the web site, coordinates day-to-day communications (small outages, serves on change control board, Facebook, etc), serves as communication lead on projects as assigned, manages online training registration, coordinates communications for summer orientation/first-year move in
  • Knowledge Base Coordinator – manages the online knowledge base including coordinating content between web site/kb/support desk etc, supports communications via social media, serves as communications/training support on project teams

 

We maintain a wiki with our month-by-month communication plan and meet in-person every 2 weeks. Everyone is busy!

At the University of Manitoba, this is our staff/student breakdown.

 

Total undergrad/grad student population is 27,751.

 

Total number faculty and support staff 8,400

 

IST department is approximately 150 people.

 

Similar to Steve (Colorado), IST does not have a dedicated communications group.  There is a central group, Marketing and Communications that works with faculties, units, departments to meet their communications and marketing needs.  My role is to oversee client relationship for IST and the campus community, and I have our IST web content coordinator reporting to me.  In the fall of last year, we had a new CIO join the U of M, and he has since added communications to my role.  Fortunately the MCO office is easy to work with and has offered to help in any way they can…they are also aware that IST has not had a good reputation over the past few years in communicating to our users.  Hopefully a year from now, that reputation will have changed!

Yes - at UWM, we have a division, University Relations, who is responsible for the instituttional PR and communications. Within that group is University Communications & Media Relations where Web Development, photo, graphic design, campuswide publications, print & copy services, and multimedia reside. At UofL we have a unit that is responsible for all communications and marketing at the enterprise level. Within IT we have several modalities to communicate with our constituents within the university and 1 FTE to handle internal communications: 1. Listserv and announcements to all IT First Level Tier Support in the departments 2. Change management meetings and announcements/list that all changes from IT are advertised and noted; major changes have to be announced 90 days in advance and the academic calendar is taken into consideration (no major changes during finals, semester start, etc.) 3. At Maricopa Community Colleges our marketing department is separate from ITS and we work jointly with them on some things.  We’re in the middle of a re-structure in ITS so I was just given 2 full time staff.  This means we’re up to 3 but we handle all of the IT Governance items as well.

There is a central University Relations group at VCU but we handle most of our own campus wide communications. I do consult with them when needed and they are very helpful but usually really busy with their own projects.

At the University of Manitoba, this is our staff/student breakdown.
 
Total undergrad/grad student population is 27,751.
 
Total number faculty and support staff 8,400
 
IST department is approximately 150 people.
 
Similar to Steve (Colorado), IST does not have a dedicated communications group.  There is a central group, Marketing and Communications that works with faculties, units, departments to meet their communications and marketing needs.  My role is to oversee client relationship for IST and the campus community, and I have our IST web content coordinator reporting to me.  In the fall of last year, we had a new CIO join the U of M, and he has since added communications to my role.  Fortunately the MCO office is easy to work with and has offered to help in any way they can…they are also aware that IST has not had a good reputation over the past few years in communicating to our users.  Hopefully a year from now, that reputation will have changed!

I hope you all don't mind my chiming in here. I think what should be considered is the function, role, or expectation of a communications office with respect to staffing.

 

When I could demonstrate a reasonable level of achievement with my communications office in the past, we had these components:

 

1. Web expertise

2. Graphics expertise

3. Video expertise

4. Writing expertise

5. Scope or responsibility

6. Strategic "convergence"

 

I use the term "convergence" to indicate that the office objective was to rise to one common goal: effective message creation and distribution irrespective of medium or venue. The number of staff required to achieve expertise convergence can vary, but you should certainly assume between 3 and 5 FTE.

At Miami University – Oxford Campus:

Total student population: 17,000

Total faculty and staff: 4300

IT Services staff: 150

 

3 FTE for communications:

  • Senior Director Strategic Communications & Planning (me) – responsible for divisional communications, strategic planning, manages the IT project office, supports the VP/CIO
  • Senior Communication & Web Coordinator – manages the web site, coordinates day-to-day communications (small outages, serves on change control board, Facebook, etc), serves as communication lead on projects as assigned, manages online training registration, coordinates communications for summer orientation/first-year move in
  • Knowledge Base Coordinator – manages the online knowledge base including coordinating content between web site/kb/support desk etc, supports communications via social media, serves as communications/training support on project teams

 

We maintain a wiki with our month-by-month communication plan and meet in-person every 2 weeks. Everyone is busy!

Hi Bert You make an excellent point. While we only have 2 FTEs at the University of Wisconsin-Milwaukee in IT Strategic Communications, we procure the services of Web developers and designers, graphic designers, photographers, multimedia videographers, and print & copy staff to develop the communications materials. Until about a month ago, these "creative services" were a part of the IT department. The cost of utilizing these services was tallied against my communications budget - although no actual $'s changed hands. As of April 2, creative services staff were transfered to the University Relations division and it's yet to be seen how we will be paying for the services. So while we only have 2 FTEs, we do track the additional costs associated with execution of communications as we don't have the specific expertise for various disciplines directly on our staff. I just learned that as of June 1st I am taking over technology workshops (these are mostly for students) and marketing of the Technology Support Center in our Library. Previously this was all handled by the Library even though we work together.   The responsibility comes with a full-time coordinator and a graphics student.  

So, I get more help for marketing and communications efforts, but it comes with more tasks to accomplish.

So now I can say we have 2 full-timers and 2 19-hour students working on technology marketing and workshops.

I am amazed at the great discrepancy in the number of staff to students in the public schools:

80,000 students 10,000 staff and faculty 1 FTE (the Director) + writers

39,000 students  18,000 staff + 2800 faculty 3.25 FTEs for ITComm

37,000 students 5000 staff + 4000 faculty 5 FTEs

35,000 students 9800 staff and faculty 3-5 FTEs for ITComm

32,000 students 21,000 staff and faculty 2.6 FTEs fro ITComm

29,000 students 5000 staff + 1500 faculty 3 FTEs for ITComm

22,000 students 2000 staff + 1500 faculty 3.0 FTEs for ITComm

20,000 students 6000 staff and faculty 1 FTE

I am now grateful to have the staff I do have if a school with 18,000 staff only gets 3 FTEs like me – or worse , one with 80,000 students only has the Director officially assigned to the task! Think back on where we were when our small ITComm group started communicating.  Most of us were going solo, some still are.  Here at UTEP it was just me trying to coordinate our messages and the other IT managers did not think this job was important.
