Have any of you been involved in a communication plan regarding the implementation of a new ERP on campus?  Here at Iowa State, we currently use a legacy system.  In collaboration with the Kuali community, we are building administrative systems and a data warehouse.  The following URS gives you a good idea of our projects and timeline:  http://www.cio.iastate.edu/enterprise/.

This is a big leap from where we are at to where we are going, and I am hoping other schools who experienced a similar leap will share how they effectively managed the needed communication for a smooth transition.  There is one-to-one communication occurring at a granular level.  I am more interested in organizational communication to the general campus since we will be impacting virtually every faculty/staff member with these new systems.

Thank you, Lynette

Hi Lynette,

Beloit College is in the process of converting from Datatel Colleague to Jenzabar EX and we will go live in July.

Our project team consists of IT staff and module managers who are responsible for communicating to their coworkers and constituents. Our CIO serves as our project sponsor and she updates our senior level staff and trustees on project progress as necessary. I also submit an executive summary to senior staff showing green/yellow/red progress for each module.

Finally, we share monthly updates with the campus through our Jenzabar Implementation Project web pages. We provide an overview of project activities and try to keep them aware of what is coming next. There is also a link to our project calendar and a list of team members in case they want to ask anyone questions.

The real challenge will be the training process these last couple of months!!

Good luck!

Kelly
