Dear ITComm Participants:

We are getting ready to roll out Google Apps for Education here at Stony Brook University. In addition to having users acknowledge Google's Terms of Service, we have written our own Google Apps Acceptable Use and Data Security Policy which addresses, among other things:

FERPA
HIPAA
Export Controlled Information
Social Security Numbers
Driver's License Numbers
Financial Account/Credit Card Numbers
Intellectual Property Rights and Participation of External Users in Google Docs/Drive

For those of you using Google Apps for Education, does your school require users to accept or acknowledge a University Acceptable Use Policy specifically for Google Apps?

If so, how do you deploy this, keep track of responses,etc.? Do you make it mandatory that users have to read this before they gain access to their accounts or do you just post it on one of your Web pages?

We have an Information Security Policy that addresses all of these areas but, it is not specific to Google. We have it posted on our security and policy websites. 

We do have a brief privacy statement that is on our Google Apps login page. Our users do not have to read it before they gain access to their accounts but, we do encourage that they read this before using their account.

Would you be willing to share your Google Apps Acceptable Use and Data Security Policy?  We are looking at Google Apps and are very concerned about these issues.  It would be great to see how another university addressed these issues.

At Utah State University we have done it very similar to the way Nicole describes below with our acceptable use and email policies that were already in place.  
We did nothing special with Google Apps, and have been using it for several years without any incidents. 
Google Apps is our student email, but is available to faculty and staff.  Our "official" faculty/staff email is still Exchange.     Some faculty choose to use Google Apps instead, we do not sweat it.
