I apologize for the cross post, but has anyone developed an email retention and archive policy that they would be willing to share? We are reviewing a copy of an article from the Association of Governing Boards Magazine that talks about e-discovery and email archiving from the September/October 2011 issue. I need to develop a draft pretty quickly and am looking for any suggestions/examples out there. Thanks in advance for any help you can share.

We have an archive email server that holds emails for exactly 1 year from their origination date. It automatically deletes expired messages, and with authorization from the Headmaster or Asst. Head or CFO, I can go in and check/read/forward emails from any employee or student. Pretty simple and straightforward. Our approach is similar to Peter's at St. Andrew's.

We use Google Apps and pay for the Postini 1-year archiving.  It all works automatically and even has detailed logging of who is logging in and running archive searches.  It's definitely come in handy in the past few years with some legal issues we've had.

Our policy is very simple and is included in our Faculty/Staff Handbook (and our Student Handbook).

Do you follow the state guidelines/laws for document retention as far as those same school documents that are in digital format and being stored electronically?

We do, insomuch as we follow the advice of school counsel. If that person isn't interpreting the law correctly, well... then that's a different problem. I have Ravenscroft's document retention policy that Whitney Donnelley passed out a few years back. Would you be able to share yours, too?
