Applicant tracking systems

I learned this morning that we will be implementing an applicant tracking system in the near future. We know nothing about these systems, so are turning to one of the most valuable sources of knowledge and wisdom. Santa Clara has a PeopleSoft administrative environment, including HR. Any system we implement must work for both faculty and staff. I'd appreciate answers to the following questions and will summarize for the list: Are you using an applicant tracking system? Who is the vendor? Are you tracking both faculty and staff applications? Does it interface to, or is it part of, your HR system? What has been your experience? Are you pleased? Are there shortcomings? We have been with PeopleAdmin for 10 years now and have had a great experience. The first year we implemented the system for staff positions only and gradually brought faculty searches on within the first year and made them mandatory in year two. We still have some hard copy materials (i.e. transcripts) that must be mailed in if the search committee wants those documents from applicants upfront. The customer service from PeopleAdmin is better than any company I have ever worked with. They have worked very closely with us from the beginning to ensure the system met our needs and continue to be responsive. How long did your implementation take? We took our time during implementation, mainly because we wanted to wait for the beginning of our fiscal year to start a new system. Overall, we took around 4-5 months. Are you using an applicant tracking system? 9 positive responses Who is the vendor? 6 PeopleAdmin, 1 PeopleAdmin but switching to Halogen, , 1 implementing PeopleAdmin for faculty and running Kenexa for staff, 1 testing Interfolio for faculty and considering iApplicant for staff Are you tracking both faculty and staff applications? All six who answered this question are tracking both Does it interface to, or is it part of, your HR system? 4 no, 2 some, 1 fully, 2 no answer What has been your experience? Are you pleased? Are there shortcomings? With one exception, people seemed happy with the products they were using. Several respondees mentioned some staffing changes at PeopleAdmin that caused some hiccups a year or so ago but those seem to have been resolved. How long did your implementation take?
