We have been using TeamDynamix HE for a little over a year now.  We were searching for a web-based project management and portfolio management tool that did not rely on an operating system and was browser agnostic.  We also wanted to track our university strategic initiatives and goals as well as have a robust analytic tool.  TeamDynamix has met that need for us and we are now completing the implementation of a CIO Dashboard for transparency and tracking project statuses.  If there is further group discussion about this, I’d like to be a part of it as well.

JCCC has been using TeamDynamix for over 4 years now and have been very happy with it both on the PPM and Service Management aspects.

Diana – GA Tech selected AtTask as its PPM tool about 7 months ago, and are in a technical pilot phase until March of this year, hence we haven’t completed our Lessons Learned yet.  But, we picked them after a year-long review of seven other well-known/utilized PPM tools and have been very happy with our decision. 

 

We started with an initial purchase of 200 licenses, and have already added three additional teams and 100 additional licenses since the original purchase.  It’s my belief that we will likely add an additional 150-200 licenses at our renewal in June.  That will provide nearly all OIT project staff along with four other enterprise project groups with licenses and enable our Enterprise Project Management office to work collaboratively with all units, and do PPM reporting & dash boarding across the entire GA Tech organization, which supports our strategic goal of institutional project selection and governance. 

 

Our executive leadership team members are very happy with the increased visibility they now have into our project selection and resource utilization process.  And, we will begin actual project cost reporting by Q2 of this year … a first in our IT organization’s history!  I can highly recommend it’s intuitive and user-friendly, social media-esque user interface, simple integration with Outlook, ease of use for task (in traditional waterfall and agile approaches), excellent program/portfolio management capabilities, API integration with other applications like BMC Footprints and Jira, and its business intelligence capability utilizing a very easy-to-use report builder.

 

I highly recommend you consider it as one of your vendor options.

We are using Project Server 2013 with UMT 360 add-on to track budget data. IT Services has been using Project Server for 10-12 years. About 3 years ago Office of the Architect, Facilities Services, and Finance started using Project Server to support the capital planning process. All capital projects are, along with budgets, are enter into the system and then reporting provides the Budget Office the necessary information to help craft the capital budget request.

 

This year for the first time we are developing drivers aligned with our strategic plan in order to rank of the projects using the tool.

 

Project Server is also a great collaborative environment while providing enough flexibility such that IT Services can use more of the capability (e.g. developing detailed schedules, Web reporting, demand management, etc.) while other departments can still enter projects and required budget information without the need for the detail.

 

We have found, as I’m sure you all know, it is rarely the technical issues, but the cultural issues that will prove the most challenging with implementing the PPM process. We have made great strides this year in that regard so I’m cautiously optimistic.

We looked at Team Dynamix and were very impressed, but the cost seemed outrageous for our size. Since so many people are using it, I’m wondering if we scoped it incorrectly. I’m not sure if anyone would be willing to share their yearly costs with me as well as the licenses, etc.

 

We chose project server. The licensing fees with our campus agreement were very low. We did pay an consultant to set up our server, but it was still much less than what we were quoted for Team Dynamix.

We purchased enterprise licenses for our project managers and team member licenses for the people who will work on tasks.  Anyone who only needs to request, view, post documents and update issues use the client license, which we received at no cost.  It is a very affordable product for us.

Thank you for sharing all this valuable information about project/portfolio management tools.

As a project manager for Advancement, I am wondering if the PPM tools that you are using would also be relevant to manage Advancement/Capital Campaigns. Those campaigns can be very big to manage across stems.  We have used MS Excel and MS Project, but as we are not using MS systems (SharePoint or Outlook), it does not seem to make sense.  We are starting to use Confluence as a collaborative space to share documents.  What missing though are planning, resource and financial management.

I welcome a discussion in this regard and names of campaign management systems your organization is using/supporting.
