Thanks to everyone for their contributions re: Altiris today. I received a lot of information and support, and it looks like we might finally make some progress.

I'm hoping now for similar success with another long time issue we've been facing. I've tried every program I could find that handles equipment (loaner projectors, laptops, tablets, voice recorders, etc.) reservations *and* check outs/ins. Unfortunately, there isn't single product that meets our needs. They either do too much (making it very complicated to use) or too little (basically 1/2 the functionality we need). What are your experiences with reservation systems? How do you manage the equipment loan process?

We basically want a web-based self-service (users book themselves, but come to us at time of loan to pick up equipment) system that integrates with LDAP or Active Directory.  We would input all of our equipment (with descriptions, photos if possible, loan terms etc) and users would book as the needed (one-time, recurring, sporadic). We want something that sends automatic reminder emails for overdue items. We want users to be able to make recurring bookings on their own; we only really want to get involved in the scheduling process when there are conflicts. We want something that has linkable URLs so people can bookmark and view availability without necessarily logging in (this isn't essential, but we like to have bookmarks for internal staff to be able quick reference scheduled loans for verification). Most importantly we want something that allows you to mark the item in the system as checked out (and returned), and let's you do the checkout out at-will (i.e. not only at the exact minute that the reservation was scheduled for).

We've tried Zimbra and Google calendars and later moved to EMS and are now using R&R. We're just not getting what we need, and are desperately searching for a solution as our loan program quickly grows. R&R is a good start, but to be 100% (or even 90%) useful for us it really needs some improvements. We are working with them to see what they can implement, but there are no guarantees. Overall R&R is not bad and has potential, but right now it falls short on some critical functionality for us so we're back in the market looking for a better solution if R&R doesn't work out.

Right now we use R&R for reservations, but we end up making the bookings because of various issues are users have with its usability. The checkout component of R&R is not really practical (you can only check something out at the exact minute the reservation is scheduled for), so we're using a home grown checkout solution. We really want a 2-in-1 product, if a suitable one exists. At this point any suggestions, experiences or insight on what other units, schools and institutions are doing would be valuable for us.

It's dubbed as a "resource booking and access management" system. And it is definitely the closest thing to what we want (based on what we could find), but it's still missing the mark for us. http://www.randrbooking.com/. I'd be happy to talk off the list about our specific qualms with it and our needs. We did demo web checkout, I'd have to find my notes to remember why we didn't go with it.
