Hi Folks,

 

I’m hoping this is the right group to pose this question to, but if not – please let me know…..

 

Questions:  Are there any colleges/universities out there that have outsourced student e-mail ONLY to Google – and are automatically provisioning student e-mail accounts on Google??  And if so – would you be willing to talk to us and explain to us exactly how you are managing this account provisioning process?  Are you using canned Google tools?.....or did you have to write custom code?  What kind of domain structure are you running to facilitate this automatic account provisioning?

 

Background:  We are working on a project to outsource ONLY our student e-mail to an external provider – we have tentatively decided to go with Google for this service, but now we have a bit of a challenge.  Due to the way our active directory is structured, (split domains between “students” and “employees”, but a common root), our technicians are telling us that there are some problems in trying to ONLY provision Google accounts for students – and that it would just be easier to provision Google accounts for everyone, and just not use (or disable?) the employee accounts.  (We do NOT want to outsource employee accounts – those official e-mail addresses will be maintained on our existing Microsoft Exchange system.)

 

Any help or information that can be provided would be greatly appreciated…..

Some answers:

Yes. We had 2 separate Exchange environments: one for students and one for employees. These days employees still use Exchange, and students use Google Apps for Education Gmail. We also enabled Gmail for alumni.

I can put you in touch with our system administrator. To begin with, we had already defined “what is a student” and had access to that data from our system of record. We also had to define “what are alumni?” Then we integrated this with our identity management system and some code to provision the accounts on a regular basis through the provisioning interface Google makes available.

I believe we used a combination of canned Google tools + some custom code to make it all work well. The initial load of students took a long time, and we had some problems with failed provisioning (requests would fail, so we had to send re-tries multiple times), I think a lot has been sorted out already, and I believe it’s running smoothly.

I believe we use a single AD domain now. Our sys admin can verify.

We have also outsourced student email only to Google and are automatically provisioning student accounts there. We have an internally-built account creation tool that creates accounts on various systems, so we programmed a module for Google that uses their APIs to create the accounts.

In a different vein, we are considering adding Office 365 to our mix (possibly just the office online for students and possibly having fac/staff on it and leaving students on Google -- we're trying to figure out all the possible scenarios). Is anyone using both Google Apps and Office 365 and can comment on how sharing works between the systems? (Obvious example, you have Docs enabled, but you get the share link in email to your Office 365 account).

First off – thanks for the info regarding your outsourcing of student e-mail to Google, and the generous offer to endure our questions…..we’ll most likely take you (and several other kind folks!!) up on that offer…..

 

Secondly – I’m curious as to why you school would be considering adding Office365?  Is it just to offer a selection?.....or is there another “driver” that’s encouraging you in that direction?  Instructional issues?  Student preference?

Additional features provided through Office 365 such as Sharepoint (for our Business School, at the very least, we want to be able to provide students exposure to Sharepoint for when they hit corporate life). 

Other than that, we're starting the conversation about faculty/staff conversion and want to make sure we match the right features to their needs.
